Job Summary
We are seeking a highly organized, proactive, and professional Executive Assistant to provide high-level administrative support to the Business Development team and other senior leaders as needed. This role is ideal for someone who thrives in a fast-paced environment, anticipates needs, manages competing priorities with confidence, and serves as a trusted partner to executive leadership.
The ideal candidate is detail-oriented, adaptable, and capable of handling sensitive information with discretion while supporting critical business operations and customer-facing activities.
What You Will Do
Business Development & Leadership Support
Provide executive-level administrative support to multiple leaders, including calendar management, meeting coordination, and travel arrangements
Coordinate domestic and international travel, itineraries, expense reporting, and logistics
Support Business Development activities including customer visit coordination, event scheduling, presentation preparation, and meeting logistics
Prepare reports, presentations, correspondence, agendas, and other business documents
Organize and coordinate leadership meetings, team events, offsite meetings, and employee engagement events
Manage confidential and sensitive information with professionalism and discretion
Track action items, deadlines, and follow-up activities to support organizational priorities
Serve as a key point of contact between leaders, internal teams, customers, and external partners
Employee Engagement & HR Support (30%)
Support Human Resources initiatives focused on employee engagement and workplace culture
Coordinate and promote Volunteer Time Off (VTO) programs and employee participation activities
Plan and execute employee events, recognition programs, and team-building activities
Manage vendor communication and coordination for events and engagement initiatives
Create and distribute employee communications, promotional materials, and event flyers using Canva, in coordination with Sr. Marketing Communications Manager
Assist with ongoing engagement strategies to enhance employee morale and organizational culture
Education & Experience Requirements
High school diploma or equivalent required; associate or bachelor's degree preferred
5+ years of experience supporting executive or senior leadership teams
Strong organizational, multitasking, and prioritization skills
Excellent written and verbal communication skills
High level of professionalism, discretion, and attention to detail
Advanced proficiency with Microsoft Office Suite including Outlook, PowerPoint, Excel, and Word
Ability to work independently and adapt in a dynamic business environment
Experience supporting leaders in manufacturing, defense, engineering, or technical organizations preferred
Experience coordinating events or business development activities is a plus

The salary range for this position is $66,049 per year to $94,450 per year.This range reflects the good faith estimate of pay the employer is willing to offer at the time of posting. Several factors can influence the pay scale, including but not limited to: Federal contract labor categories and contract wage rates, collective bargaining agreements, geographic location, business considerations, scope, and responsibilities of the position, local or other applicable market conditions, and internal equity. Other factors include the candidate's qualifications such as prior work experience, specific skills and competencies, education/training, and certifications. In addition to base pay, employees may be eligible for: annual performance-based bonuses, equity awards, and overtime pay (for non-exempt employees as applicable.
