Job Summary
The operations associate plays a crucial role in ensuring the efficient and effective functioning of administrative processes within the organization. This position involves data analysis, process optimization, budgeting experience, bookkeeping tasks and administrative support to enhance productivity and decision-making. The ideal candidate should be detail-oriented, analytical, have time management skills and possess strong organizational skills.
Duties and Responsibilities:
· Data Analysis: Collect, compile, and analyze data related to administrative processes, budgeting, and resource allocation to identify trends and areas for improvement.
· Process Optimization: Evaluate and streamline administrative procedures to enhance efficiency and effectiveness, recommending and implementing changes where necessary.
· Budget Management: Assist in budget preparation, monitoring, and variance analysis, ensuring compliance with financial guidelines and policies.
· Report Generation: Generate and present reports, charts, and graphs to communicate findings and insights to management, supporting informed decision-making.
· Administrative Support: Provide administrative support to various departments, including scheduling meetings, managing calendars, and coordinating workflow.
· Policy Compliance: Ensure that administrative activities adhere to organizational policies, procedures, and regulations.
· Documentation: Maintain accurate records, databases, and documentation related to administrative processes and projects.
· Stakeholder Communication: Collaborate with different teams and departments to gather information, address issues, and facilitate communication regarding administrative matters.
Requirements and Qualifications
· Associate or bachelor’s Degree preferred but not required, or 5 years’ experience
· Minimum 10 years' experience in not-for-profit budgeting
· Minimum of 10 years’ experience in not-for-profit bookkeeping and reports
· Proficient knowledge in QuickBooks, Online or Desktop version
· Strong analytical skills with proficiency in data analysis tools and software.
· Excellent organizational and time-management abilities.
· Detail-oriented and capable of working independently or in a team.
· Effective communication and interpersonal skills.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
· Previous experience in administrative analysis or a related role is a plus.
· Knowledge of budgeting and financial principles is an advantage.
· Ability to adapt to changing priorities and meet deadlines in a dynamic environment.
· A commitment to maintaining confidentiality and ethical standards.
· Must be able to work from our office, as this is not a remote or hybrid position.
Job Type: Part-time
Pay: $28.00 per hour
