Responsibilities may shift or expand over time in response to program growth, strategic priorities, and evolving institutional needs.This role helps maintain organized systems, supports timely communication with prospective students, students, and graduates. Further this role assists with regulatory and administrative tasks to ensure a smooth workflow across NMI.This position works collaboratively with and is directed by academic, administrative, admissions and operations leadership.Scope of WorkThe Admissions & Program Assistant provides coordination and administrative support in the following areas:Admissions SupportAcademic SupportAdministrative Support Admissions SupportSupport implementation of strategy for engaging and communicating with prospective studentsRespond to prospective student inquiries using established communication templatesConduct Discovery Calls with applications using established program talking points, as assignedConduct initial administrative review of application prior to Director-level substantive reviewTrack applicant progression through the admissions process and notify their supervisor of any problems or delaysRefer applicants to their supervisor when additional consultation is needed Academic SupportMonitor academic workflow systems and flag delays or issues for academic leadershipSupport guest speaker coordination and schedulingAssist with coordination of tutoring program logisticsUpdate program resource materials, as directedAssist with identifying students who could benefit from more targeted outreachMaintain withdrawal/dismissal tracking documentation for student academic file Administrative SupportAs needed, assist the team in preparing related documentation for accreditation reports and regulatory complianceAssist with establishment and maintenance of student recordsAssist with processing student administrative formsSupport institutional communications, such as website maintenance, email campaignsAssist with establishment and maintenance of alumni tracking and outreachAssist with processing student billing, payments, and collectionsQualifications and Selection CriteriaMinimum Qualifications:Strong organizational, coordination, and workflow management skillsExcellent written and verbal communication skillsAbility to manage multiple concurrent tasks independentlyStrong, current computer literacy skillsCandidate must be legally authorized to work in the United States at the time of hireHigh school diploma or equivalentPreferred Qualifications:Familiarity with community midwifery, birth, and perinatal care in the USFamiliarity with NARM’s requirements for the CPM CredentialEducation, certification, or experience in marketing, customer service, public relations, communications, or related fieldKnowledge, Skills, and Abilities Needed:Ability to work collaborativelyExperience with working in Google WorkspaceExperience with website design and maintenance in SquarespaceExperience with marketing, public relations, communications, or related fieldDemonstrated commitment to equity, diversity, restorative justice, and continuous professional development.Remote work, including prioritization of tasks, time management, boundary settingDeep commitment to expanding access to and improving the experience of midwifery education to expand access to community based midwifery care in the United StatesA successful candidate must:Maintain a professional ethic (as defined by the MANA Statement of Values and Ethics) and uphold student confidentiality at all times.Complete cultural sensitivity/diversity training or coursework.Uphold NMI Policies relevant to independent contractorsUphold NMI’s Acceptable Use Policy.
