Executive/Personal Assistant
This position is projected to have a start date of the beginning of September.
Position Summary
Provide administrative support and personal assistance to the CEO in a fast-paced environment. Responsible for calendar management, travel coordination, meeting logistics, and day-to-day CEO activities.
This role requires exceptional communication skills, strong attention to detail, and the ability to manage multiple priorities. The ideal candidate will expertly coordinate calendars, travel arrangements, meetings, and communications while always maintaining confidentiality and professionalism.
Essential Functions & Responsibilities
Manage and maintain the CEO’s complex calendar, including scheduling meetings, appointments, and events across multiple time zones
Coordinate domestic and international travel arrangements with internal/outside agents; including flights, hotels, transportation, itineraries, and expense reporting
Help the CEO stay organized, prepared, and on schedule throughout the day by tracking deadlines, follow up on action items, and ensure timely completion of tasks
Serve as the primary point of contact between the CEO and others within and outside of the company
Prepare meeting agendas, presentations, reports, and correspondence as needed
Organize and coordinate executive meetings and special events
Screen and prioritize emails, phone calls, and other communications on behalf of the CEO
Maintain confidential records and sensitive business information with discretion
Work with and assist with Office Administrative team and help with administrative projects as needed

Skills & Qualifications
3+ years of experience supporting executives or senior leadership
Strong proficiency in Microsoft Office Suite and calendar management tools
Excellent written and verbal communication skills
Exceptional organizational and multitasking abilities
Ability to work independently and handle confidential information professionally
Strong problem-solving skills and attention to detail
Flexible schedule and ability to adapt to changing priorities
Experience coordinating executive travel and logistics
Familiarity with expense management systems
Professional demeanor and customer-service mindset
Ability to anticipate executive needs and act proactively
Pay: $65,000.00 - $75,000.00 per year
