Student Life and Events Office Assistant - FWSReport to: Assistant Director of Student Life, Assistant Director of EventsDepartment: Student Life and EventsFLSA Status: Hourly, Non-ExemptMax Hours Per Week: 20JOB PURPOSEThis position provides student employees with hands-on experience in the operations of the Student Life and Events office while supporting the department through basic event planning, task management, administrative assistance, and office organization.ESSENTIAL FUNCTIONSAssist with planning, coordinating, and executing Student Life events, conferences, intramurals, chapel-day tabling, and other assigned events.Support event logistics, including reservations, catering, supply orders, attendance tracking, setup, teardown, and post-event organization.Complete basic research, task tracking, and administrative follow-up for assigned events and projects.Coordinate with the Assistant Director of Events, Assistant Director of Student Life, Career and Ministry Coordinator, Spurgeon College, and other departments as needed to support event execution.Draft and send event-related communication, including campus-wide emails, welcome week messaging, Student Life event copy, conference emails, and other promotional content.Help coordinate weekly communication with the Student Leader team regarding upcoming events and responsibilities.Assist with event promotion across appropriate platforms, including social media, campus TVs, email, and other communication channels.Work with the Communications Department and media staff/interns to ensure events are promoted in a timely and effective manner.Assist with Student Leader communication, office hours, meetings, documentation, birthday gifts, and general team support.Work with the Assistant Director of Student Life to support RA communication, meetings, and related administrative needs.Help update and maintain Student Life documents, processes, and shared resources.Maintain the cleanliness, organization, and readiness of Student Life office spaces, closets, kitchen areas, event supplies, and storage areas.Track, organize, and maintain event-related inventory and supplies, including tablecloths and other reusable materials.Refill and monitor campus hospitality and care supplies, including feminine products.Write meeting minutes for assigned meetings.Create reservations, submit project requests, and assist with internal systems related to event and office operations.Consult with the full-time Student Life team on planning, priorities, and preparation for the academic year.Provide general administrative support to the Student Life team and assist with other duties as assigned.QUALIFICATIONS / REQUIREMENTSMUST BE A CURRENT STUDENT OF MBTS OR SPURGEON COLLEGE, ANDMUST QUALIFY FOR THE FEDERAL WORK STUDY PROGRAM VIA FAFSAQualifications and requirements include, but are not limited to:Christian with high integrity, currently pursuing a relationship with GodHigh School Diploma Required (Some college experience preferred)Basic understanding of the Spurgeon College and MBTS educational experienceExcellent communication skills, both written and verbalAble to show courtesy and wisdom in dealing with student issuesSkilled in computer technologies, including Microsoft Office Suite (Word, Excel, Outlook)Able to multitask, analyze workload, and prioritize as necessary for the benefit of the departmentAble to take the initiative to complete the duties of the position without the need for direct supervision.Able to learn and utilize new skills and information to improve job performance and efficiency.Must be able to work independently, as well as part of a teamExcellent communication skills, both written and verbalMust show a desire and willingness to learnMust possess a positive attitudeAble to pass background screening, including driving recordEligible to work in the United StatesWORKING CONDITIONSNormal business hours (M-F)Not to exceed 20 hours per weekShared office environmentPHYSICAL REQUIREMENTSFrequently required to sit or stand for periods of time at a desk or computer stationOccasionally required to stand, walk, and reach with hands and arms.Able to lift and/or move up to 25 pounds.Specific vision abilities may include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.Frequently required to spend extended time on the phoneThis job description is meant to describe the general nature and level of work being performed; it is not intended to be construed as an exhaustive list of all responsibilities, duties, or skills required for the position.Midwestern Baptist Theological Seminary is an Equal Opportunity Employer
