Monday-Sunday; 9:00AM-5:00PMSummer Bay Orlando by Exploria ResortsJob SummaryThe Administrative Assistant for the Engineering department is responsible for efficiently dispatching calls to and from technicians throughout the property. He/she will also handle administrative work for the engineering department, including record-keeping for various types of maintenance actions.Responsibilities And DutiesMonitor property management system, email, telephones, logs, and radio communicationsAddress problems and requests by transmitting information or providing solutions to managementPrioritize calls according to urgency and importanceEnsure work order items are completed in a timely manner and follow up on tasks that become delinquent or need additional time (daily assist dispatch monitoring Asgard – report to management of any concerns).Monitor the status of team members’ daily schedules, Asgard tickets, or any concerns and report directly to management. Distribution of daily schedules and workload are the responsibilities of management and dispatchCommunicate with all departments, guests, and resort staff membersEnter data in the computer system and maintain logs and records of calls, activities, assets, and other informationComplies and enforces the Resort’s drug-free policy, safety standards, work ethics, attendance, and grooming policiesMust be able to work any assigned schedule as a condition of employmentQualificationsQualifications and Skills:Excellent communicator and able to multi-taskProficient with computers, organized, detail-oriented, have great problem-solving skills, very good phone etiquette, and provide outstanding customer serviceMust be able to make decisions and take appropriate action with little supervisionReceives requests, transmit messages and work orders, tracks work orders, ensures work is completed in a timely mannerFollows up on project tasks, research previous issues, keeps logs of numerous items daily, and maintains records of department productivityMust have some knowledge about general maintenance and housekeepingBilingual is a plus but not requiredRequired CompetenciesProven experience as dispatcher or relevant positionTech-savvy with knowledge of relevant methods (Microsoft office, Asgard, or other hospitality-related PMS)Fast typing with experience in data entryOutstanding organizational and multitasking abilitiesSound judgment and critical thinkingBasic knowledge of maintenance to make decisions for action when necessarySelf-motivated and able to carry out duties with independence and significant autonomyStrong verbal and written communication skills in order to precisely deliver communication to vendors, guests, team members, and other departmentsMust be goal-oriented and be able to work with deadlines, possessing a “sense of urgency” when neededHigh school diplomaPhysical DemandsThe position requires limited physical activity, including but not limited to, short periods working on their feet and walkingThe position is primarily office-related – sitting for extended periods of timeMust be able to work flexible shifts
