Property Management Client Services SpecialistSUMMARYEl Ejido LLC manages permanently affordable housing and commercial real estate for community benefit in the Emma and Erwin communities. We seek a bilingual Client Services Specialist to provide excellent customer service to residents, tenants, and community members, and to create a positive and productive environment for the day-to-day operations of the office.  The office is located in the Emma community of west Asheville; this is not a remote position.COMPENSATION AND BENEFITSThe Client Services Specialist is a 30–40 hour/week (negotiable), non-exempt position starting at $27/hour with a raise to $27.50/hour following a successful 90 day review.  In addition, El Ejido offers generous Paid Time Off (PTO) including: 2 weeks vacation, 10 federal holidays, 2 weeks sick time, and additional time off at the end of the year.  El Ejido offers a paid membership to a medical clinic.CORE COMPETENCIESBilingual in English/SpanishExcellent customer service skillsClear, concise written and verbal communicationStrong time management skillsAbility to quickly learn new computer softwareAbility to work independentlyRESPONSIBILITIESResident/Tenant/Member RelationsRespond in a timely manner to communications from residents/tenants/membersSatisfactorily resolve issues raised Help identify when mediation or other support may be needed to resolve conflictProactively communicate about payment issues, policy violations, and other important noticesCoordinate with maintenance cooperative and other external contractors as needed to ensure property maintenance requests are completedAssist new members in setting up their online portal to make payments and manage communicationsPromote positive relationships among residents/tenants/membersFinancial ManagementReceive payments and deposits, and manage deposit refundsEnter financial transactions in Property Management software (Appfolio)Use appropriate spreadsheets and tracking tools for documentation of financial informationPrepare and make bank depositsProvide financial information to the Cooperatives (with support from the bookkeeper and supervisor)Budget management (with support from supervisor)Utilities and Vendor Services ManagementCommunicate and coordinate with utility companies about services outages, maintenance, contracts, and billingCommunicate and coordinate with other vendors as needed about services, contracts, and billingPay utilities and other vendors in a timely mannerComplianceCoordinate lease renewals as neededCoordinate event rental contracts as neededEnsure proper move-out procedures as neededCommunicate with attorney and supervisor in case of lease termination, eviction, disputes among neighbors, or other issuesCoordinate annual contracts for property management with CooperativesEnsure that all properties have current insurance policiesMaintain proper documentation and record keepingOwnership of work and communicationStrive for excellence in work responsibilities and knowledge of property managementProvide open, honest, and direct communication to Supervisor and receive direct communication and feedback with openness and willingness to learnProvide timely and thoughtful responses to emails, messages, phone calls, and other communications Take full ownership of work, proactively identifying to Supervisor any areas where responsibilities are not being met or not being met in a timely manner, and asking for assistance, clarification, or further guidance as neededMaintain an organized work system to effectively manage job responsibilities using project management software (ClickUp)This is an overview of responsibilities, not an exhaustive list, and there will be additional responsibilities as assigned.SUPERVISIONThe Client Services Specialist is a part of the PODER Emma Ecosystem Development team and reports to PODER Emma’s Director of Finance & Operations.TO APPLY To apply for the Client Services Specialist position, please send a cover letter, resume, and three professional references to  becky@poderemma.org.  This  position is open until filled, with interviews beginning in early June.
