This is a fully onsite position.JOB SUMMARY:Working in tandem with the Rental Sales Managers and Sr. Director of Sales, the Hotel Group Specialist is responsible for coordinating all aspects of definite group service milestones as assigned. Their role serves as the key contact and liaison with clients, Worldwide Sales, on-property Ops team and internal departments. The Specialist ensures exceptional customer service, professional written and verbal communication, highly detailed follow-through, and ensures accuracy of all communications and responsibilities are complete upon required deadlines to maximize successful group experiences.ROLES AND RESPONSIBILITIES:Responsible for assisting with Groups, Corporate, Transient Sales & Marketing and Business Travel Sales functions as assignedResponsible for all aspects of coordinating definite groups, including but not limited to:Facilitating group rooming lists, confirmations, VIP guest arrangementsCreate reservation links when requestedWork with Business Management to ensure deposits are being charged as outlined in contract termsEnsure guarantees and billing arrangement are establishedFacilitating tax exemptions, where applicableMaintain accurate records in sales systemsMonitor group pick up and reports both internally and with group point of contact preparing & distributing pertinent details to property operation team(s)Work with Revenue & Inventory Departments on special requests and necessary inventory adjustmentsRun various weekly and monthly sales reportsProcess group commissions & rebatesOngoing, customized communications with customers, maintaining a knowledge of the customer and group details throughout the coordinating processAssist in building and maintaining business relationships with guests, clients, & business partnersAdministration & maintenance of the Sales systems, including but not limited to: Salesforce/FDC, Meeting Broker, Cvent, OnQ SMSWorking with Marketing team to maintain & update property brochures, flyers, group-related marketing listings, etc.Auditing & updating property content in Worldwide Sales resource libraryAssist in rebranding and implementation of new property builds for the brandIdentify, analyze, and resolve problems, maintain effective working relationships, and interact successfully with internal and external customersEnsure all channels of internal communication/documentation with various department including Reservation, Revenue Management, Inventory Management, Business Operations and Resort Management/Operations are accurate and complete. Act as a liaison between; yield management, guests, department managers, to ensure the execution of business requirements adhere to company policies in a timely mannerDemonstrate efficient time management self-awareness & disciplineSelf-initiative to prioritize many tasks, resort needs, and guest needs accurately - with flexibility to quickly reprioritize, while completing impending deadlines and/or established timeframesParticipation in occasional sales calls &/or property toursDemonstrate strong organizational skills in a fast-paced environment, while working independently on various projects & forms of communication that occur, weekly, monthly, quarterly while creating successful results, with minimal supervisionAssist with additional regions, tasks, departments, etc. on occasion, when requestedEmbodies the Values of Hospitality, Integrity, Leadership, Teamwork, Ownership, Now,Completes all required Company training/compliance courses as assignedAdheres to Company standards and maintains compliance with all policies and proceduresPerforms other related duties as assignedKNOWLEDGE, SKILLS, AND ABILITIES:Proficient with: Excel, Outlook, Word, PowerPoint, Math.Fast & Accurate Reading.Professional phone etiquette, excellent guest service skills, attention to detail and a positive attitude.Excellent communication skills, both written and verbal in addition to the ability & willingness to understand and follow both oral and written directions.Education: High School/GEDExperience: Hotel operations experience (2 years minimum)Winter Park Recruiting is an Equal Opportunity Employer.
