To learn more about our practice, please visit www.greenwoodpediatrics.com.We are seeking an enthusiastic and experienced Front Office Manager to oversee Patient Representatives across our three locations in Centennial, Littleton and Parker. Our ideal candidate will have strong motivational personnel management experience in a healthcare setting, outstanding customer service standards, experience managing multiple provider schedules, and will possess excellent critical thinking skills.This opportunity is full-time (5 days per week), rotating across all three practice locations.ESSENTIAL DUTIES and RESPONSIBILITIESLeadershipPromote the values and strategic vision of Greenwood Pediatrics.Provide leadership to Patient Representatives and set a standard for excellent service.Provide day-to-day direction and assistance to Patient Representatives and Leads/Trainers.Ensure adequate daily staffing at all locations and fill in if necessary.Collaborate with other dept. supervisors and managers for process improvement.Participate actively in quality program and other committees.Attend and contribute to regular leadership and process improvement meetings.CommunicationUtilize clear and concise communication with patients and their families, direct reports, providers and colleagues.Facilitate and promote interoffice communication with clinical, billing, medical records & administration departments.De-escalate issues with parents/patients by employing accepted techniques and in accordance with company values. Develop these skills in Leads/Trainers and other team members.Personnel ManagementConduct application reviews, phone screenings, interviews and reference checks.Oversee training of new hires in partnership with designated trainers.Perform 45- and 90-day evaluations with new hires and trainers to ensure competency.Monitor productivity and work quality of Patient Representatives and provide coaching as needed.Identify and provide opportunities for team and individual growth.Provide ongoing coaching and counseling for employee performance improvement, issuing corrective/disciplinary action when necessary.Conduct annual performance evaluations.Deter gossip and negativity by setting expectations and modeling appropriate behavior.Ensure staff compliance with the Greenwood Pediatrics Employee Handbook.Other TasksMonitor multiple provider schedules for accuracy.Function as Epic front office “superuser” to facilitate training and support team.Submit online tickets for IT and EHR performance issues.Schedule building maintenance and repairs as needed.Order and track employee uniforms.Place non-medical supply orders and ensure inventories are maintained.Perform general clerical and other duties, as assigned.SUPERVISORY RESPONSIBILITIESDirectly supervise 10-15 Patient Representatives across three locations.QUALIFICATIONSRequirements listed below are representative of the knowledge, skill and/or ability required.
