Acts Proposal Coordinator - Volunteer
This is a fully remote volunteer role.Random Acts is a non-profit that inspires acts of kindness around the world. We provide a vast network of caring people with the encouragement and support they need to change lives for the better.The Act Proposal Coordinator manages the approval of funding requests from supporters and potential applicants. Reporting to the Events Manager, the Act Proposals Officer will ensure that all appropriate procedures are followed when approving or declining applications and that all requests are processed in a timely and organized fashion. The Act Proposal Coordinator is expected to provide flexibility and cover/support for the Events Officer and Regional Events Officer where required.RESPONSIBILITIESManage the Act Proposal system from beginning to end, including the system itself on Podio, queries from supporters and potential applicants, the applications themselves, the approval of acts, allocation of funds or promotional materials, and the completion of acts along with receipts and reimbursement of funds or promotional materialsEnsure that the relevant staff are aware of proposed or ongoing actsEnsure that proper documentation is kept, and appropriate approvals are given on a timely basisEnsure that the organization's procedures, particularly for financial applications, are followedSupport the Events Manager in communicating with the Marketing Department to ensureinformation is shared with supporters in a timely fashionSupport the Events Officer and Events Manager in the planning and organizing of RandomActs' functions at fan conventions, where appropriateLiaise with the Development Team to provide any information necessaryKeep the Events Manager informed of significant problems that jeopardize the well-being of the organization, escalating to the Director and the Senior Team where necessaryAttend regular staff and departmental meetingsAny other projects or duties as requested by the Events ManagerDESIRED QUALIFICATIONS AND SKILLSExcellent computer skillsStrong communication and interpersonal skills, both inside and outside the organizationWell-organized and deadline-orientedTactful, creative, and enthusiastic, with the ability to positively motivate othersWilling to work independently and as part of a teamFlexibility concerning work schedule to accommodate evening and weekend meetings and eventsBachelor's degree, or at least 1 year of experience working with budgets or in project management, preferably in the non-profit sector
