Must be detail and customer service oriented and have excellent organizational skills. Must be able to work well with others in a fast-paced & high-volume environment.ResponsibilitiesReview all bid notifications with Account Executives to determine ability to bid equipmentCreate and maintain bid software and bid folders per MPSW standardsDownload and print all project documents for approved bid projectsCoordinate with Lead Account Executive and Estimators on required bid datesMaintain correspondence with potential bidders regarding bid statusMaintain record of bidders for each projectMaintain bid list with job information and biddersReview quotations from Lead Account Executive and EstimatorsUpload and distribute quotes to all biddersUpdate job list and coordinate with VP of SalesMaintain and archive dead/lost projectsPhones backup for Receptionist deskThe Required ProfileHigh School Diploma/GED; Two (2) years of college courses in Business Administration or related field desiredMinimum of 2-3 years of prior experience in an administrative roleExcellent interpersonal and communication skills both verbal and writtenExcellent customer service skills and follow upIntermediate Computer skills using MS 365 (Sharepoint, Outlook, Excel, and Word)Excellent attention to detail and organizational skillsAbility to multi-task and track projects to completionIndustry experience (HVAC) a plusAbility to communicate clearly and effectively with team members and customersBasic mechanical aptitudeAccurate data entry skillsAbility to prioritize workload with strong time management skillsProfessional demeanor, proactive and flexible with changing prioritiesFlexibility to work overtime/non-business hours as neededAbility to learn and utilize various manufacturers' selection/pricing programs Language SkillsOther Skills & AbilitiesAbility to read and comprehend simple instructions, short correspondence, and memos.
