Assistant Director of Advancement Systems and Analytics
Reporting to the Senior Director of Philanthropy, the Assistant Director of Advancement Systems and Analytics supports the administration, optimization, and effective use of the University's constituent relationship management (CRM) system to advance fundraising and donor engagement efforts at Elmhurst University.This role is responsible for day-to-day CRM administration, data integrity, reporting, and user support, with a primary focus on Raiser's Edge NXT. The position ensures accurate and reliable data, supports fundraising operations, and provides actionable insights to the Advancement team.Position Status: ExemptSalary Range: $60,000-$65,000. This is the expected salary range for this position. The actual salary offered will depend on a candidate's experience and education, and departmental budget.ResponsibilitiesSupport daily administration of Raiser's Edge NXTAssist in documenting and improving CRM and prospect management workflows, processes, and data standards in partnership with the Senior Director of PhilanthropyPartner with advancement teams (major gifts, planned giving, annual giving, and alumni engagement) to ensure effective system use for fundraising and prospect managementSupport system updates, enhancements, integrations, and configuration (data tables, codes, attributes, and business rules) in coordination with ITExecute and document data imports, exports, and batch processes, ensuring accuracy and consistencyDevelop and maintain user guides, training materials, and standard operating proceduresProvide frontline user support, troubleshooting system, reporting, and data issuesAssist with onboarding and training staff on Raiser's EdgeGenerate routine and ad hoc reports, dashboards, and fundraising metricsSupport donor and prospect analysis, including segmentation, portfolio support, and trend reportingUtilize Prospect Insights and ResearchPoint tools to support prospect analysis and fundraising strategyConduct prospect research using Raiser's Edge tools and external sources to assess capacity, affinity, and engagement for individuals, corporations, and foundationsMaintain and update prospect profiles, including research findings, ratings, and engagement dataTranslate research and data into clear, actionable insights for fundraisers and leadershipConduct data audits, deduplication, and quality control to ensure data integritySupport data governance standards, compliance requirements, and institutional policies, including charitable registration and donor/endowment reportingSupport CRM-related projects, including process improvements, data clean-up, and system enhancementsAssist with project coordination, documentation, and cross-team initiatives such as campaign and donor engagement effortsSupervise and support the Advancement Services Specialist, providing guidance, training, and oversight to ensure efficient daily operations and high-quality constituent and gift data managementOversee gift processing functions, including the accuracy, timeliness, and compliance of gift entry, acknowledgments, reconciliation support, and related advancement services proceduresOTHER DUTIES AND RESPONSIBILITIES:Supports mission, vision and values of Elmhurst UniversityDemonstrates a strong commitment to continuous improvementPerforms other duties and completes special projects as assigned. RequirementsMinimum QualificationsBachelor's degree in business, information systems, data analytics, nonprofit management, or a related field2-4 years of professional experience in advancement services, data management and analysis, or a related field, with demonstrated hands-on experience in CRM administration, reporting, and data operationsExperience working with Blackbaud Raiser's EdgeProficient with software including Microsoft Office, with strong Microsoft Excel skillsStrong reporting, analytical, and data management skillsAbility to apply and leverage technology to build the capacity of an Institutional Advancement departmentAbility to work collaborativelyStrong customer service orientationExcellent analytical, critical thinking, and communication skills, including strong written and verbal skillsAbility to handle confidential and sensitive information with the highest professional and ethical standards. Strong commitment to the mission of Elmhurst UniversityPreferred QualificationsExperience in higher education fundraising or nonprofit advancementKnowledge of fundraising operations, donor lifecycle, and prospect managementExperience with data visualization, predictive analytics, basic programming, or business intelligence toolsFamiliarity with data governance and best practicesStrong understanding of fundraising metrics (KPIs), campaign tracking, and pipeline managementWorking Conditions/Physical RequirementsThe essential functions of this position are primarily performed in an indoor setting with limited exposure to outdoor weather conditions. Work is often sedentary in nature and requires remaining in a stationary position for extended periods. Required abilities include speaking and hearing for in-person and virtual communication, using close and distance vision when reading documents or viewing screens, and performing tasks with repetitive fine motor skills. Work may require occasional lifting, bending, carrying, or otherwise moving objects weighing up to 15 pounds.
