Strategic Executive Assistant to the CEO

This role is a key partner to the CEO and a central point of coordination across the business. You'll help keep priorities moving, communication clear, and day-to-day operations organized. That includes executive support, purchasing coordination, vendor communication, basic financial tracking, marketing coordination, and follow-through on key projects.If you're highly organized, business-minded, and good at keeping multiple moving parts on track, this could be a strong fit.Executive SupportManage the CEO's calendar, scheduling, and shifting prioritiesHelp organize meetings, agendas, notes, and action itemsScreen and prioritize communicationsKeep information, files, and documentation organized and easy to accessPurchasing and Vendor CoordinationSupport purchasing activities, including quotes, order tracking, and vendor communicationMaintain vendor records and pricing informationTrack purchase orders and help ensure spending aligns with expectationsCoordinate with operations to support timelines and material availabilityFinance and Reporting SupportAssist with invoice tracking, approvals, and submission to accountingMaintain basic reports such as spend tracking and budget summariesSupport expense documentation and internal organizationPrepare simple summaries and updates for CEO reviewMarketing and Business CoordinationHelp track marketing initiatives, timelines, and deliverablesCoordinate with internal team members and outside partnersKeep projects moving and organizedAssist with reports, updates, and communication across departmentsOperational Follow-ThroughHelp connect the CEO with leadership across operations, sales, and financeTrack key projects and follow up on deadlinesSupport process documentation and workflow improvementsBring order and consistency to administrative systems as the company growsWhat We're Looking For3–7 years of experience in executive support, operations, office management, or business coordinationStrong organizational skills and ability to manage competing prioritiesGood judgment, professionalism, and discretionClear written and verbal communicationAbility to work independently and anticipate needsStrong attention to detail and follow-throughProficiency in Microsoft Office, especially Excel, and/or Google WorkspaceExperience with ERP systems, purchasing systems, or accounting software is a plusExperience in manufacturing, construction, or an industrial environment is preferredWork EnvironmentPrimarily office-based with regular interaction in a manufacturing environmentFrequent computer work, phone communication, and email communicationOccasional walking through production or warehouse areasFast-paced environment with multiple priorities and deadlinesApplyIf you're proactive, organized, and confident managing details while keeping bigger priorities in view, we'd love to hear from you.J-18808-Ljbffr
