We celebrate diversity and are committed to creating an inclusive environment for all employees and the people we serve This opportunity is covered under Section 3 of the HUD Act of 1968 DISTINGUISHING FEATURES OF WORK This position is responsible for providing technical and administrative support to the Resident Services Department as well as coaching a caseload of Family Self-Sufficiency participants. This position is responsible for providing coaching and referral services to families enrolled in the program. The position will provide referrals to human service, educational, employment, and financial organizations and monitor the progress of participants in the program. This position will also support departmental needs for programming, marketing, and data tracking, including but not limited to resource dissemination to program staff, marketing through program flyers, newsletters, and social media, and monitoring data tracking for grants and funding. Attention to detail, a high level of organization and multi-tasking are required. Work is performed with initiative and independent judgment and is evaluated for timely performance, adherence to instructions, HUD regulations and established procedures. This position reports to Director of Resident Services. EXAMPLES OF WORK (Illustrative Only) Maintain a caseload of FSS clients through ongoing client contact. Make appropriate referrals to external and internal partners to enhance the services provided to FSS participants. Maintain complete and accurate records in accordance with program guidelines. Program Partnerships: Maintain a directory of resources and partnerships. Assist managers with tracking and reporting data for grants and housing. Marketing: FSS outreach and recruitment, program flyers, department newsletters, websites, community calendars, and updating resource directories. Program Donations: Track and assist with solicitation. Prepares communications, such as memos, emails, invoices, and reports and other correspondence. Maintains and helps coordinate schedule of events for the Resident Services department Serves as primary point of direct administrative contact and liaison with other offices, individuals, and external organization and agencies on specified issues. Participate in resident services staff meetings. Assist Resident Service Director in all projects and organizational needs as requested Clerical: Complete reports, agendas, meeting minutes, track referrals, create files, data input, ordering office supplies. Assisting with department procurement procedures. REQUIREMENTS OF WORK · Knowledge of (or ability to learn) HUD, FSS & ROSS grant regulations and PHA regulations, policies, practices and procedures. · Ability to communicate and maintain effective working relationships with broad range of stakeholders including residents, co-workers, community partners, and the public through both verbal and written means. · Ability to document activities and communicate with supervisor and participants. · Ability to respect client privacy and confidentiality. · Ability to make independent decisions in accordance with established policies and procedures. · Ability to research, compile and disseminate information from multiple sources in an organized and logical manner. · Ability to accomplish assigned tasks using the Authority’s computer systems, must be proficient with PC, mainframe software applications, and Microsoft Office. · Ability to follow written procedures and work without close supervision. · Ability to operate standard business equipment. · Valid Maine Driver’s License required. Own insured vehicle preferred, but not required, to provide transportation for performing local area home visits and program activities. DESIRABLE EXPERIENCE AND TRAINING · Required: A minimum of 2 years’ experience or education in non-profit work, social work; or any equivalent combination of experience, education, or training.
