Executive Assistant
Position Summary:
The Executive Assistant provides administrative and operational support to the Director of Purchasing Operations. This role is responsible for coordinating daily activities, managing communications, organizing information, and assisting with purchasing and operations tasks to ensure projects and customer orders move efficiently.
This is a hands-on position with opportunities to learn purchasing, vendor management, government contracting, and business operations.
Responsibilities:
Manage calendars, appointments, and meeting scheduling
Prioritize emails and assist with correspondence
Prepare reports, spreadsheets, and documents
Maintain organized electronic files and records
Assist with purchase order processing and vendor follow-up
Request pricing and lead times from manufacturers and distributors
Track customer orders and provide status updates
Follow up with vendors regarding shipments and backorders
Maintain CRM records and internal documentation
Assist with office supply purchasing and inventory management
Coordinate with sales, warehouse, accounting, and vendors
Handle confidential information with professionalism
Support special projects and other administrative duties as assigned
Qualifications:
High school diploma required; associate or bachelor's degree preferred
1–3 years of administrative or office experience preferred
Excellent organizational and time management skills
Strong written and verbal communication skills
Proficient in Microsoft Outlook, Excel, Word, and Teams
Ability to manage multiple priorities in a fast-paced environment
Strong attention to detail
Professional, dependable, and eager to learn
Preferred Qualifications:
Experience supporting executives or managers
Purchasing or procurement experience
Customer service experience
Government contracting experience is a plus but not required

Salary: Starting from $42,000 per year
