This role is responsible for ensuring the integrity, efficiency, and strategic alignment of benefit programs-including health, welfare, retirement, and leave of absence programs-through strong vendor partnerships, file feed management, and data governance.This is a critical role in strengthening system integrations, optimizing file transmissions, and enhancing overall vendor communication protocols. This position partners cross-functionally to ensure benefit operations are scalable, compliant, and aligned with broader organizational priorities.Operating with a high level of autonomy, this role partners closely with Operations Directors, Practice Managers, Medical Leaders, and HR partners to drive consistent HR practices, strengthen leader effectiveness, support employee experience, and ensure scalable people processes aligned with AmeriVet's continued growth.Key ResponsibilitiesServe as the subject matter expert for self-funded medical plans, overseeing plan design, administration, vendor management, and ongoing performance optimization.Lead enterprise-level oversight of benefits operations, including health & welfare plans, self-funded medical plans, 401(k)/retirement plans, and leave of absence programs (FMLA, ADA, state leave)Ensure accuracy and integrity of file feeds, system integrations, and benefits data across platformsManage strategic vendor relationships (TPAs, carriers, recordkeepers, and leave administrators), ensuring proactive communication, accountability, and service optimizationOversee inbound and outbound file transmissions between HRIS (Workday), payroll, and third-party administrators to ensure compliance and operational continuityServe as a subject matter expert in Workday Benefits and Absence Management, including configuration, business process optimization, reporting, and integration troubleshootingPartner with HRIS and IT teams to enhance Workday functionality, improve data flows, and support system upgrades or implementationsOversee administration and governance of self-funded plans, including coordination with TPAs, stop-loss carriers, and internal stakeholders to ensure cost control and complianceManage 401(k) plan administration, including vendor oversight, plan compliance, nondiscrimination testing coordination, and alignment with fiduciary responsibilitiesEnsure compliant administration of leave of absence programs, including policy alignment, vendor oversight, and regulatory adherence across multiple statesDrive process improvements based on internal audits, compliance reviews, and organizational findingsEnsure adherence to applicable federal and state regulatory requirements (ACA, ERISA, COBRA, FMLA, ADA) through strong documentation and governance practicesPartner cross-functionally to align benefits operations with company-wide strategic initiativesAnalyze reporting and data trends to identify risks, gaps, and optimization opportunitiesSupport continuous improvement efforts related to systems, compliance controls, and vendor performanceEducation & ExperienceMinimum of 5+ years of progressive experience in benefits administration, including oversight of complex, multi-state or multi-site environmentsBachelor's degree in Human Resources, Business Administration, or related field requiredDemonstrated experience managing self-funded health plans, including vendor/TPA coordination and cost management strategiesExperience overseeing 401(k)/retirement plans, including vendor management, compliance, and audit supportStrong experience overseeing leave of absence programs (FMLA, ADA, state-specific leaves), including vendor management and complianceHands-on experience with Workday Benefits and Absence Management, including configuration, integrations, reporting, and issue resolutionStrong background in HRIS systems, file feed management, and vendor integrationsExperience managing third-party vendor relationships with a focus on service-level accountabilitySolid understanding of regulatory frameworks impacting benefits administrationProven ability to translate organizational findings into strategic process improvementsStrong analytical, problem-solving, and cross-functional partnership skillsPhysical Requirements:Office work and standing and walking during practice visits.TravelThis role drives excellence in people strategy, leader support, and organizational performance across multiple sites.
