As the Office Coordinator/Administrative Assistant, you will be responsible for overseeing the daily operations of our office and ensuring smooth and efficient workflow. This is a key role that requires integrity, excellent organizational and communication skills, as well as the ability to manage multiple tasks and priorities simultaneously.
Responsibilities:
Prepare communications, such as memos, emails, invoices, reports and other correspondence
Plan and schedule appointments and maintain calendars
Answer inbound telephone calls
Manage social media accounts
Provides direct supervision of technicians regarding customer escalations, technical compliance tasks, support, and standard operating procedures
Ensures timely, compliant and accurate management of work order processes, business information, and licensing management ensuring the company’s processes remain compliant
Participates with owners in development and maintenance of operational and business strategies, supporting the owners’ vision and process ideals
Oversees and reviews daily operational and compliance metrics, as well as the escalation, tracking, and resolution of issues
Communicates with all relevant employees to ensure delivery times are met
Communicates process improvements to relevant parties to ensure a successful business.
Coordinates activities that affect operational decisions and business requirements
Maintains administrative functions in Restore 365 and Xactanalysis
Handles sensitive information in a confidential manner
Assists with onsite human resources functions such as employee onboarding, time and attendance, and payroll processing
Qualifications:
-Associate's degree in business administration, operational management or finance preferred and not required, 2-4 years equivalent experience in similar role
-Ability to read, analyze and interpret general business processes as well as federal, state, and local rules and regulations and successfully apply and provide support in efforts to comply with regulations and process improvement initiatives
-Proficient in using computers or necessary technology, including QuickBooks Online and Microsoft Office applications such as Word, Excel, and Outlook
-Ability to work closely with, influence, and hold technicians accountable to resolving issues or capitalizing on opportunities
-Ability to engage and motivate others; drive results
-Ability to manage time and workload effectively and work in a team environment
-Excellent problem solving and communication skills, written and verbal
We are a small family business, locally owned and operated. The Office Coordinator/Administrative Assistant's schedule is on-site Monday-Friday from 9:00 am-5:00 pm. If you are a motivated individual with a passion for organization and efficiency, we would love to hear from you!
