Payroll Analyst

Job: Payroll Analyst Salary: 65,000 - 78,000 Location: Evanston (Onsite but flexible) We are looking for a Payroll Analyst to support payroll (union), AR and AP operations and core accounting activities for a growing organization in Evanston, Illinois. This position combines payroll processing, certified payroll compliance, accounts payable, accounts receivable, and project cost tracking in a deadline-driven environment. The ideal candidate brings strong attention to detail, sound judgment with financial data, and the ability to coordinate effectively with internal teams, vendors, subcontractors, and external accounting partners. Responsibilities: • Oversee the preparation and validation of weekly and biweekly payroll information, including time entries, paid leave, overtime calculations, and employee deductions before submission for processing. • Produce and file certified payroll documentation for prevailing wage work, ensuring reports are accurate, complete, and submitted through required compliance systems on schedule. • Review labor classifications, wage determinations, and subcontractor payroll records to maintain compliance with federal and state prevailing wage requirements. • Manage the full accounts payable cycle by reviewing vendor invoices, assigning proper general ledger and job cost coding, and routing items for approval and payment. • Support vendor account maintenance by resolving billing questions, reconciling statements, and organizing regular payment runs for leadership approval. • Handle accounts receivable activities by issuing customer invoices, preparing project-related billings, posting incoming payments, and monitoring outstanding balances for timely follow-up. • Assign labor, materials, equipment, and subcontractor costs to the appropriate job and phase codes to maintain accurate project financial records. • Assist project and finance stakeholders with budget-to-actual cost tracking, variance identification, lien waiver administration, and month-end reporting support. • Prepare aging schedules, job cost summaries, payroll-related reports, and audit support materials for management review and external accounting coordination. • Associate degree in Accounting or a related field. • At least 3 years of experience in payroll (ideally union) and accounting support, preferably within a fast-paced construction environment. • Hands-on knowledge of full-cycle payroll, including multi-state and union payroll processing. • Experience with accounts payable, accounts receivable, and job cost tracking. • Familiarity with certified payroll reporting and prevailing wage compliance requirements such as Davis-Bacon regulations. • Proficiency with ADP Workforce Now, Excel, and Sage or similar accounting software. • Strong analytical skills, clear communication, and the ability to manage multiple deadlines with a high level of accuracy.
