Project Coordinator / Orders & Logistics (Houston)
PROJECT COORDINATOR / ORDER & LOGISTICS SPECIALISTKey ResponsibilitiesOrder Management & ProcurementEnter and process orders for park equipment and associated construction services in AcumaticaGenerate and issue purchase orders to manufacturers and vendors, ensuring accuracy in specifications, quantities, and pricingCoordinate with sales team to confirm order details, revisions, and approvalsTrack long-lead items and proactively communicate potential delaysFacilitate Customer communication on order status and associated updatesLogistics & Delivery CoordinationManage and track all project components from order placement through final deliveryIdentify freight carrier efficiencies and improve project profitability (consolidated deliveries, secondary carriers, etc.)Coordinate shipments from multiple vendors to ensure materials arrive in the correct sequence for installationConfirm delivery details including site access, contacts, equipment needs (e.g., forklift requirements), and delivery restrictionsCommunicate with customers regarding ship dates, delivery schedules, and expectationsProvide tracking details, bills of lading, and installation manuals upon shipmentManage logistics inbox and maintain consistent communication across assigned territoriesCoordinate equipment staging and delivery timelines to align with project installation schedulesInstallation Coordination (Turnkey Execution)Develop and manage full project schedules (including project site work, equipment installation, surfacing installation, and shade structure installation)Act as the primary point of contact for customers during project constructionCoordinate directly with:Customers (schools, municipalities, HOAs, contractors)Installation crews and subcontractorsManufacturers and suppliersEnsure site readiness prior to installation by collecting and reviewing:Site photos and conditionsBase preparation and drainage detailsLayout plans, renderings, and safety zone complianceCoordinating with Parks Consultants as necessarySchedule and sequence trades appropriately (e.g., equipment install before surfacing, shade footings prior to final install)Identify and resolve scheduling conflicts, site issues, or delivery challenges proactivelyProject Tracking & Financial CoordinationMaintain accurate project tracking sheets including status, timelines, and key milestones· Provide regular project updates to internal teams and customers· Ensure all project components are delivered and installed per scope before invoicing· Notify accounting when projects are ready for billing and provide supporting documentation· Assist in managing change orders and scope adjustmentsProject CloseoutCompile and organize all project closeout documentation, including:WarrantiesOperations & Maintenance guidelinesInspection reports and compliance documentsMaintain and update organized digital project filesUpdate internal closeout trackers and accounting systemsSend project completion communications to customers and ensure satisfactionContract & Submittal ReviewReview customer contracts, vendor agreements, and project specifications for accuracyEnsure compliance with safety standards (ASTM, CPSC guidelines for playgrounds, where applicable)Flag discrepancies or risks and coordinate resolution with internal teamsQualifications & Requirements2–4 years of experience in construction, project coordination, procurement, or related field (public construction and civil experience strongly preferred)Experience managing multi-component or turnkey projects is highly desirableStrong understanding of construction sequencing and job site coordinationExceptional organizational and multitasking skills with attention to detailExcellent communication skills with a customer-facing mindsetAbility to manage multiple projects simultaneously in a deadline-driven environmentSelf-starter with strong problem-solving abilitiesProficiency in Microsoft Office (especially Excel and Outlook) and ERP systemsExperience with Acumatica or similar systems preferredSalary Range: $60,000-$65,000About Parkscapes TexasParkscapes Texas proudly supplies park and playground equipment across the State of Texas.
