About the Role
We are seeking a meticulous and dedicated Accounts Payable Specialist to join our finance team. In this pivotal role, you will be instrumental in managing the full accounts payable cycle, ensuring accuracy, efficiency, and compliance for our diverse client and vendor relationships. Key Responsibilities
Process a high volume of accounts payable invoices daily, leveraging automated accounting systems for efficiency and accuracy.
Verify and reconcile invoices against purchase orders and requisitions for goods and services, resolving discrepancies proactively.
Execute precise data entry of invoices and maintain accurate financial records within our computerized accounting software.
Manage weekly payment runs, preparing vendor checks and meticulously tracking all disbursements.
Prepare manual checks as required for urgent or specific financial obligations.
Process various financial forms, including tax documents and inventory reports, ensuring compliance with established guidelines.
Establish and maintain confidential employee and business files with the utmost discretion and integrity.
Assist with payroll functions, including verifying employee pay amounts, deductions, and calculating compensation rates when applicable.
Ensure all transactions comply with the company's financial policies and procedures, contributing to robust internal controls.
Generate and prepare daily, weekly, and monthly financial statements and reports for management review.
Maintain an organized electronic and non-electronic filing system for all financial documents and inventory records.
Provide exceptional customer service to internal and external stakeholders, including clients, vendors, and colleagues, upholding professional standards.
Perform additional accounting and administrative duties as assigned, supporting the broader finance department.
Required Qualifications
High School Diploma or GED equivalent is mandatory.
A minimum of two (2) years of dedicated experience in Accounts Payable (A/P) or a combined A/P and payroll role.
Demonstrated general understanding of accounting practices, principles, and financial regulations.
Proficiency in automated accounting programs and enterprise resource planning (ERP) systems.
Advanced working knowledge of Microsoft Office Suite, specifically Excel, Word, and Outlook.
Excellent computer aptitude, including 10-Key by touch and a typing speed of at least 40 Words Per Minute (WPM).
Exceptional verbal and written communication skills in English, with the ability to convey complex information clearly.
Proven ability to maintain confidentiality with sensitive financial and employee data.
High level of accuracy, attention to detail, and organizational skills in data entry and record-keeping.
Strong analytical and problem-solving capabilities to identify and resolve financial discrepancies.
Preferred Qualifications
Associate's degree in accounting, finance, or a related field.
Experience with specific accounting software relevant to our industry (e.g., [mention specific software if applicable, e.g., QuickBooks, SAP, Oracle Financials]).
Familiarity with payroll processing software and best practices.
