What You Will Do: Key Responsibilities As our Payroll Specialist, you will be the backbone of our compensation system, ensuring all employees are paid accurately and on time. Payroll Processing & Administration Process complex, multi-state, bi-weekly payroll for salaried and hourly employees using our current payroll system. Accurately input and verify all payroll data, including new hires, terminations, rate changes, benefits, and wage garnishments. Calculate and process special payments, including bonuses, commissions, retro pay, and manual checks. Review and verify timecards, ensuring strict adherence to company policy and all federal/state legal requirements (e.g., overtime rules, meal breaks). Coordinate seamlessly with the HR team to manage data flow related to employee status and benefits enrollment. Compliance, Reconciliation, and Audits Ensure full compliance with internal controls, accounting policies, and all governmental regulations (IRS, DOL). Manage ACA compliance requirements, including tracking eligibility and generating annual 1095 forms. Process accurate federal and state tax filings, including quarterly 941s and annual W-2s. Perform thorough benefits reconciliation (e.g., 401k, health premiums) against vendor invoices. Reconcile payroll General Ledger (GL) accounts and promptly resolve discrepancies. Assist in internal and external payroll audits by preparing necessary documentation. Employee Service Serve as the primary point of contact for all employee inquiries regarding paychecks, deductions, and tax withholdings. Maintain the highest level of integrity and confidentiality for all sensitive payroll data. Generate essential reports for management on labor costs, PTO balances, and other key payroll metrics. What You Will Bring: Qualifications Education & Experience 3+ years of progressive experience processing complex, high-volume, multi-state payroll. Associate’s degree in Accounting, Finance, Business Administration, or a related field (Bachelor’s preferred). Technical Expertise & Skills Demonstrated proficiency with a major payroll software (e.g., Paycom, ADP Workforce Now, UKG, SAP, Oracle). Advanced proficiency in Microsoft Excel (including VLOOKUPs, Pivot Tables) for efficient data analysis and reconciliation. Strong familiarity with General Ledger (GL) reconciliation and core accounting principles related to payroll. Highly organized, meticulous, and detail-oriented, with a proven ability to manage multiple priorities under tight deadlines. Effective communicator with strong analytical and problem-solving skills. Preferred Certifications Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a significant asset.
