Job Description SUMMARY OF POSITION:We're looking for a Creative Operations Coordinator to own how content is managed, distributed, and maintained across the organization, while supporting how creative work flows from brief to execution.This role supports the Creative Marketing team across Shock Doctor, McDavid, Cutters, Pearl iZUMi, Nathan Running, and a new fitness brand, EQYP Fitness, ensuring assets are organized, accessible, and ready for use across teams and channels, and that projects move efficiently through the system.You will support and maintain the systems behind the work, including Brandfolder, Salsify, server organization and monday.com. This is a high-volume, multi-brand environment that requires strong attention to detail, structure, and follow-through.You bring a process-first mindset, take pride in clean systems, and help create clarity in how work gets done.This role supports the day-to-day execution of systems and workflows, while the Creative Operations Manager owns overall creative process.ESSENTIAL FUNCTIONS:Digital Asset Management (DAM) OwnershipManage and maintain the DAM ecosystem across Brandfolder, Salsify, and internal serversUpload, organize, and tag photo and video assets with consistent metadataMaintain and enforce naming conventions, folder structures, and tagging systemsEnsure all assets are current, properly versioned, and easy to findManage and maintain server organization to ensure long-term scalability and clarityAsset Distribution & GovernanceDistribute toolkits and assets across marketing, retail, and cross-functional teamsEnsure the correct assets are delivered to the right channels and stakeholdersMaintain version control and prevent outdated or incorrect assets from being usedEnsure product-level assets are complete, accurate, and properly uploaded across systems (including Salsify where applicable)Track missing content and follow up with teams to ensure required deliverables are created and availableCommunicate when new assets or toolkits are available so teams can act quickly and confidentlyDocumentation & SystemsBuild and maintain clear documentation for:Where assets liveHow assets are tagged and organizedHow teams access and use assetsEnsure teams follow established naming, tagging, and workflow standardsSupport team adoption of systems and standardsHelp create consistency across brands and teamsProject Intake & Workflow OwnershipOversee incoming creative requests from intake through deliveryReview briefs for completeness and clarity, flag gaps, and ensure all required information is provided before work beginsSet up and manage projects in monday.com with clear owners, timelines, and deliverablesMaintain monday.com as the source of truth for all active workTrack progress and ensure projects move forward without bottlenecksCross-Functional CoordinationAct as a connector between creative, marketing, and product teamsEnsure alignment, accountability, and clear communication across stakeholdersProcess Optimization & SupportIdentify gaps or inefficiencies and propose practical improvements to increase speed, clarity, and consistencySupport implementation of updated processes, tools, and standardsContinuously refine systems based on day-to-day usageOther duties as assigned.POSITION SPECIFICS:This is a full-time positionTypical work hours and days are Monday – Friday, 8:30 a.m. to 5:00 p.m.This position is based out of the Costa Mesa, CA officeNo travel is expected for this position.This position requires in-office attendance at least 4 days per week (subject to increase in the future).PAY TRANSPARENCYThe Company is committed to fair, equitable, and transparent compensation. Final compensation will be determined by various factors such as your relevant work experience, education, certifications, skills, and geographic location.The salary range for this role in Fountain Valley, CA is $70,000.00 - $80,000.00.In addition, you may be eligible for additional compensation, such as a bonus. Employees may also be eligible for a wide range of other benefits, including health & wellness benefits, retirement, time off, employee discounts, and others.SUPERVISORY RESPONSIBILITIES:This position does not have any leadership requirements and/or responsibilities.REQUIRED EDUCATION & EXPERIENCE:2–4+ years in creative operations, asset management, information management, library science, photo studio operations, project management, or similar disciplinesHands-on experience with a DAM system like Brandfolder (preferred), AEM or similarExperience managing projects in a tool like monday.com, Asana or similarExperience working in a creative, content-driven, or multi-brand environmentStrong understanding of file naming conventions, metadata tagging, and version controlStrong foundation in asset management and organization is critical; project coordination experience can be developedExperience working with high volumes of digital assets is strongly preferredPHYSICAL DEMANDS/WORK ENVIRONMENT:Candidate must be able to successfully perform the essential functions of this job with ability to: be in a stationary position 50% of the time; occasionally move about inside the office to access fine cabinets, office machinery (such as a calculator, copy machine, printer, etc.); constantly operate a computer; occasionally ascend/descend stairs; constantly position self to maintain files in file cabinets; the ability to communicate information and ideas so others will understand; must be able to exchange accurate information in these situations; the ability to observe details at close range (within a few feed of the observer); and frequently move boxes weighing up to 25pounds across office for various needs. Ability to work in outdoor weather conditions if projects/opportunities arise.
