Planning Coordinator

As a partner to major cruise lines, we source and curate products from world-renowned brands, as well as locally owned artisans, so that we can provide cruise guests with exciting shopping experiences.The Planning Coordinator is a crucial role that works closely with our Inventory Planning and Logistics teams, in conjunction with our vendorcommunity, to facilitate timely merchandise availability. This individual will support multiple categories of business by partnering with theircorresponding Planning and Distribution teams and in the future will be part of a small pool of global planning coordinators. The key componentsare creating and modifying purchase orders, tracking shipments, maintaining order files, communicating with vendors and internal teams to resolveshipping issues, and providing reports and analysis to support decision making.ESSENTIAL DUTIES & RESPONSIBILITIESPurchase Order and Vendor ManagementProcess purchase orders for multiple categories of businessDaily tracking of all shipments from vendor to distribution center and/or direct to shipPartner with vendor community and Starboard’s Logistics and Transportation team to ensure timely shipment of orders and to ensure vendors are complying with shipping guidelinesWork with vendors, Merchandising & Planning teams and Logistics to resolve any issues related to performance and/or inbound flow of goodReporting (run data queries, prepare reporting, and communicate findings and actionsWeekly - internal dept. meetings Monthly - to key vendors as identified Manage vendor inquiriesEnsure cross departmental communication to resolve outstanding issuesCommunication & CollaborationIdentify and communicate opportunities to maximize order tracking and vendor complianceConsistently communicate anticipated purchase order challenges and possible solutions to all stakeholdersAttend and actively participate in weekly meetings with planning team to discuss strategies and priorities. Present all findings, suggestions and business opportunities to the teamSupport new vendors by providing packaging, documentation and routing guidelines to ensure proper shipping requirements are followed and potential delays are avoidedAssist with other Planning & Distribution team projects and category specific tasks as neededInterpersonal ManagementBuild a reputation as a positive contributor within Starboard in all interrelations and communication.Acquire knowledge from departments within the organization to gain an understanding of Starboard processes and key business partners.Leverage interpersonal relationships to accomplish day-to-day needsQUALIFICATIONSEducation and Experience1 -2 Years of ExperienceHigh School or Equivalent requiredKnowledge, Skills & AbilitiesMinimum 1-2 years retail experience in a fast-paced environment preferredCollege degree or equivalent experienceStrong communication skills, both written and verbalMS Office with advanced proficiency with Excel including the use of pivot tables and formulasAbility to thrive in a collaborative, team-oriented environmentDecision Making Duties and activities reviewed periodically. Supervisor monitors work progress and determines actions on unusual items. Moderate level of problem solving ability.OtherPosition Type/Expected Hours of WorkSome flexibility in hours is permitted, employee must be available during the “core” work hours of 800 a.m. to 500 p.m. Monday - Friday and must work 30 hours each week to maintain full-time status. Occasional evening and weekend work may be required as job duties demand.Physical DemandsOffice environment with frequent sitting, walking and standing, occasional climbing, stooping, kneeling, crouching and balancing. Frequent use of eye, hand and finger coordination enabling use of office machinery. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
