Service Coordinator/Dispatcher
Essential Duties:
Maintain an operational knowledge of computers and programs such as Excel, Word, Outlook for daily activities.
Maintain excellent customer relation skills. Resolves customer service issues effectively
Research service information and product updates
Communicate with the various factories to coordinate warranty service work and reimbursement.
Acts as a liaison between customers, employees, and supervisors on various questions or issues.
Effectively communicate with management to clarify instructions or discuss the scope or progress of work in the field.
Dispatch all field service technicians. Accountable for scheduling jobs productively and profitably, always sensitive to the needs and circumstances of customers and clients
Coordinate scheduling of all field service technicians; be knowledgeable of jobs and current concerning jobs in progress.
Answer inbound phone calls from customers, quickly assesses customer needs and proactively provides solutions with a high degree of accuracy, process all customer service requests
Follow up, coordinate, and confirm scheduling with customer and client solutions promptly, professionally, courteously and seamlessly
Provide parts ordering support as required.
Provide quotes, for follow up service or as request by customers.
Work with the billing coordinator to process work orders from opening to reviewing and the closing of sales orders.
Effectively work with the sales department to coordinate efficient start up and delivery of new and used sales projects.
Demonstrate interpersonal skills sufficient to create and maintain a cooperative working environment between customers and Gen-Tech employees.
Maintain the best possible relationship between Gen-Tech and the customer; maintain the highest quality and quantity standards.
Must be willing to devote extra time and effort toward objectives beyond consideration of the standard work week.
Qualifications:
2 years experience in dispatching, project scheduling, and service coordination.
Prior experience in a similar support function coordinating within various moving pieces within the organization
Ability to multi-task. Highly organized, with the ability calmly and proficiently handle several tasks at once
Excellent attention to detail and strong with numbers
Customer First mindset, to provide exceptional service to customers
Strong communication skills, both written and verbal
Motivation to learn
Industry experience a plus, but not a requirement
Adaptability – able to adapt to rapid changes in the work environment, manage competing demands and able to deal with frequent change, delays or unexpected events
Additional responsibilities:
This position requires you to work after hours on-call as needed; ability to work irregular hours / overtime.
· Communicate with proper individuals to clarify instructions, discuss scope and/or the progress of job.
US citizenship or authorized to work in US – required.
High School Diploma, GED – Preferred.
Verbal and written communication in English; bilingual a plus.
Ability to pass Background check, Physical exam and Drug screen – Required.
