Position SummaryThe Executive Assistant to the Chief Development Officer provides high-level administrative and strategic support to advance the mission and fundraising goals of March of Dimes. Requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced nonprofit environment. The Executive Assistant serves as a key liaison between the CDO, internal teams, donors, board members, and external stakeholders.Key ResponsibilitiesExecutive SupportManage the CDO’s calendar, including scheduling meetings, donor engagements, travel, and eventsExercising independent judgment in managing priorities and resolving scheduling conflictsPrepare and coordinate materials for meetings, presentations, and reportsDraft, proofread, and manage correspondence on behalf of the CDOPrioritize and manage incoming communications, ensuring timely follow-upManage deadlinesDevelopment & Donor Relations SupportAssist in coordinating donor meetings, cultivation events, and stewardship activitiesMaintain donor records and support data entry in CRM systemsHelp prepare donor briefings, proposals, and acknowledgment lettersTrack fundraising activities, deadlines, and key metricsRevenue Reporting & CommunicationsCompile, manage, and distribute regular revenue reports (weekly, monthly, quarterly) for the CDO and leadership teamTrack fundraising performance against goals, identifying variances and flagging risks or opportunitiesCoordinate with finance and development teams to ensure accuracy and alignment of revenue dataPrepare dashboards, summaries, and visual reports for internal and board presentationsDraft and disseminate revenue updates and insights to internal stakeholders, ensuring clarity and consistency in messagingSupport forecasting processes by gathering data and maintaining up-to-date reporting toolsProject & Operations CoordinationSupport execution of development initiatives and campaignsCoordinate cross-functional projects with internal departmentsMonitor project timelines and ensure deliverables are metAssist with budget tracking and expense reportingBoard & Stakeholder EngagementCoordinate logistics and materials for board meetings and committees related to developmentEnsure confidentiality and professionalism in all interactionsNavigating sensitive information and situations with diplomacy and sound judgementAdministrative DutiesArrange travel accommodations and itinerariesProcess expense reports and invoicesMaintain organized filing systems (digital and physical)Support additional administrative tasks as neededQualificationsRequired:Bachelor’s degree or equivalent experience3–5+ years of executive administrative support, preferably in a nonprofit or development settingStrong organizational and time management skillsExcellent written and verbal communication abilitiesHigh level of discretion and professionalismProficiency in Microsoft Office Suite and Microsoft programs. Advanced excel including pivot tables and data analysis, PowerPoint, and CRM systems (e.g., Salesforce). Concur experience a plus.
