Job Description Roles And Responsibilities
The Receptionist's primary role is to serve visitors telephone inquiries by greeting, welcoming, and directing them appropriately. The receptionist's primary responsibility is to maintain security, telecommunication systems and distribute information within the office to ensure daily administrative/clerical operations run efficiently. Persons Served must be met with impeccable customer service that represents a beacon of hope and a solution to their dilemma. The receptionist will work collaboratively with the Operations Manager to reinforce the organization's purpose and ensure the delivery of Genesis Programs Inc.'s mission, vision and values as the first point of contact for prospects inquiring about services. To ensure Genesis' efficiency, other job titles or duties may be added to this job description that are not listed below.
Supervision
The Receptionist will report to the CEO/Program Director and be overseen by the Operations Manager
Duties/General Customer Service
Welcome visitors by greeting them in person or answering the telephone.
Maintain security by following procedures, locking front door, monitoring logbook and issuing visitor badges.
Provide basic and accurate information while screening inquiries.
Schedule appointments and transfer calls.
Confirm appointments for initial clinical assessment, pre-mid, pre-exit, conjoined sessions, etc.
Maintain scheduling calendar to ensure daily appointments run smoothly.
Administration Responsibilities
Manage and distribute information within the office.
Data entry to maintain participants Electronic Health Records (EHR).
Coordinate office activities including clinical staff meeting.
Maintain, generate, and run survey reports.
Maintain office inventory, ordering of supplies, and ensure the overall appearance is clean and free from any debris or possible risks for injury.
Upload all participants initial assessments and other documents into their document manager.
Maintain office and drug testing supplies.
Maintain correct inventory records on all office drug testing supplies.
Take minutes during clinical staff meetings.
Maintain front office appearance and workspace.
Maintain budget for office and drug testing supplies.
Crisis Interventions
Ensure critical incident reports are completed in accordance with the organizations P&P manual
Unit Maintenance
Ensure supplies are stocked at all times.
Ensure cleanliness of facility.
Ensure all emergency equipment is working and in compliance.
Ensure the workstation is clean and properly stocked for the next shift
