We are also helping move the industry toward more sustainable products through recyclable, recycled-content, bio-sourced, and biodegradable material options that reduce reliance on virgin PVC.Role SummaryThe Administrative Assistant helps keep our Strongsville operation running smoothly by handling a mix of administrative and operational support work. This role touches shipping coordination, employee timekeeping, visitor and vendor support, complaint tracking, recruiting and onboarding administration, and recurring audit or compliance tasks. Success in the role depends on accuracy, follow-through, practical judgment, and comfort working in a small manufacturing company where people are expected to contribute across functions.Key Responsibilities· Coordinate finished-goods shipping by confirming readiness with production, printing shipping documents, obtaining signed bills of lading, filing records, and distributing required copies.· Support receiving and logistics as needed, including coordinating container receiving and forklift rental around actual delivery timing.· Track and support resolution of customer complaints and maintain related administrative records.· Coordinate customer and vendor visits, including internal notification and any required hospitality or visit preparation.· Support recruiting and hiring administration, including candidate reception, interview coordination support, onboarding paperwork, and training administration for confirmed hires.· Update employee timecard records daily, identify attendance exceptions, and communicate issues promptly to employees and the appropriate internal contact.· Support recurring production-line administrative audits, including 5S and skill-audit tracking for production-line employees.· Review timecards on the payroll cycle and send the finalized attendance report to Finance for payroll processing.· Collect and compile production-line performance review information for leadership review.· Coordinate recurring administrative and compliance tasks such as workers' compensation administration, required reporting, employee clothing changes, equipment maintenance coordination, and annual fire-equipment servicing.Required Qualifications· Relevant experience in administrative coordination, office operations support, operations support, HR/payroll support, logistics administration, or a closely related role.· Strong accuracy and follow-through with records, forms, routine reports, and time-sensitive administrative tasks.· Ability to manage recurring daily, bi-weekly, semiannual, and annual task cadences without losing track of deadlines.· Comfort working across functions with production, leadership, finance, employees, visitors, customers, and vendors.· Comfort working in a small, hands-on business where the role shifts between desk work, plant-facing coordination, and real-time operational issues.· Practical written and verbal communication skills suitable for internal follow-up, document handling, and professional interactions with external visitors or drivers.Preferred Qualifications· Experience in a manufacturing, industrial, warehouse, logistics, or other operations-heavy environment.· Experience handling shipping paperwork such as bills of lading, packing lists, or shipment release documents.· Experience with timekeeping, attendance tracking, payroll-input preparation, onboarding administration, or employee-file maintenance.· Exposure to audit support, compliance tracking, safety-related administrative tasks, or recurring operational reporting.· Experience coordinating multiple small but important workflows at once without heavy managerial structure or large support teams.What Success Looks Like in the First 6-12 Months· Daily timecard updates, attendance feedback, and payroll-cycle reporting are completed accurately and on time with minimal rework.· Shipping documents, visitor coordination, complaint tracking, and recruiting/onboarding administration are handled reliably without dropped follow-ups.· Recurring audit, maintenance, and compliance-related administrative tasks are tracked proactively rather than reactively.· Production, leadership, finance, and employees experience the role as dependable, responsive, and easy to work with.· The candidate identifies at least a few practical process improvements that reduce errors, missed deadlines, or unnecessary follow-up in a lean environment.
