We are seeking a highly organized, proactive, and service-oriented Executive Assistant to the CEO. This role supports both business and personal priorities, requiring strong discretion, judgment, and adaptability. As a trusted partner, you will manage scheduling, travel, communications, and coordination to keep priorities running seamlessly. While rooted within the firm, the role extends beyond a traditional corporate scope and includes select external responsibilities. This is a high-trust, high-visibility position with opportunity to grow. Responsibilities
Manage complex calendars and scheduling for senior leadership across multiple time zones.
Prepare meeting materials, agendas, and follow-up action items.
Assist with email coordination and professional correspondence.
Track priorities and ensure timely execution on key action items.
Arrange end-to-end domestic and international travel, including flights, accommodations, and transportation.
Prepare detailed itineraries and ensure seamless logistics.
Serve as a central point of coordination for internal and external stakeholders.
Ensure clear, timely, and professional communication on behalf of leadership.
Coordinate leadership meetings, firm outings, and company off-sites.
Support day-to-day management of the Chicago offices, including vendors and facilities.
Source high-quality, tasteful, and on-trend options while remaining mindful of budget.
This role includes personal assistant support to leadership when needed, which may include coordinating appointments, managing reservations, handling occasional errands, researching vendors, and assisting with personal logistics.
Support ad hoc initiatives and strategic projects within the Office of the CEO, such as assisting with hiring, presentation creation, and research.
Experience
Bachelors degree preferred.
3+ years of experience supporting c-suite executives, principals, family offices, or founders as an executive administrative assistant.
Must be highly literate in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Professional demeanor with refined interpersonal skills and a strong service orientation.
Ability to maintain composure and professionalism in a fast-paced, high-output, ambitious culture.
Outstanding organizational skills to ensure the timely execution of responsibilities.
Excellent written and verbal communication skills, with a focus on proofreading.
Strong interpersonal skills and a naturally service-oriented mindset.
Ability to seamlessly manage multiple tasks with potentially shifting priorities.
High level of professionalism, discretion, and integrity with internal and external stakeholders.
