Part-Time Administrative Assistant II

Hourly Part-Time PositionThis is an hourly part-time position averaging 2530 hours per week, with flexibility in scheduling to align with your availability while meeting the needs of the teams you support.Position OverviewThe Administrative Assistant II provides essential operational and administrative support to the Executive Assistants (EA) team. This role does support executives, but also focuses on coordinating core processes, managing logistical tasks, and helping ensure the EA function runs smoothly and efficiently. The ideal candidate is detail-oriented, proactive, and comfortable working with all levels and in a fast-paced, team-based environment. This role is based on-site at our Milwaukee HQ location.Key ResponsibilitiesAdministrative & Operational SupportProvide day-to-day administrative support to key team members and Executive Assistants team.Assist with calendar coordination tasks such as scheduling internal meetings, reserving shared spaces, and updating group calendars.Provide monthly expense report support to several executive team membersCoordinate lunches/dinners for executive meetingsTravel & Logistics CoordinationSupport travel planning for staff by gathering travel details, preparing itineraries, and confirming logistics.Coordinate arrangements for visiting employees, including booking guest offices, preparing visitor materials, and ensuring workspaces are set up with required equipment.Office & Workplace CoordinationManage conference rooms set up on the executive floor. Manage the ordering of office and meeting supplies.Serve as a point of contact for building services or facilities requests related to shared spaces.Documentation & Process SupportAssist EAs with preparing documents, updating templates, and maintaining department procedure documentation.Support with passports and visas.Communication & Team SupportCoordinate distribution of team communications, meeting agendas, and follow-up notes.Partner with the EA team on cross-functional tasks and special projects as needed.Provide backup coverage to other administrative roles during absences or high-volume periods.High exposure to executive level team leadersRequired Skills & Qualifications2+ years of administrative, office coordination, or support experience.Strong proficiency with Microsoft 365 tools (Outlook, Teams, Excel, Word, SharePoint).Excellent organization, time management, and follow-through.Strong interpersonal communication and ability to work with employees at all levels.Demonstrated ability to adapt to shifting priorities and manage multiple tasks simultaneously.Preferred Skills & QualificationsExperience supporting a centralized administrative or shared services team.Familiarity with travel booking platforms and office scheduling systems.Experience coordinating onsite visitor logistics or hospitality services.There may be opportunities for this role to transition into a full-time position in the future based on business needs and performance.Candidates must be eligible to work in the United States without requiring company sponsorship to obtain or keep U.S. work authorization.
