Headquartered in New York with offices in Beijing, Boston, Brussels, Hong Kong, Houston, London, Los Angeles, Luxembourg, Palo Alto, San Francisco, São Paulo, Tokyo and Washington, D.C., the Firm provides coordinated legal advice and transactional capability to clients around the globe.The Billing team is responsible for overseeing the Firm's global billing function, ensuring compliance and consistency of billing practices, policies and procedures and supporting the partnership in achieving timely billing of inventory.The Firm is seeking a highly organized and detail-oriented Billing Assistant to join the Firm’s Billing, Collections and E-Billing team. This role is critical to maintaining the firm’s financial integrity and ensuring accurate, timely, and compliant billing for services rendered to clients.ResponsibilitiesAssist Billing Coordinators with performing proforma edits, creating and editing bill drafts, and processing invoicesAssist Billing Coordinators with the filing of bill packagesMaintain and update special instructions related to billing attorneys’ clients and mattersAssist with electronic invoice submissionsRespond to internal inquiries in a timely mannerSupport Billing coordinators with follow-up via email or phone as requested, providing superior customer serviceObserve confidentiality of client and firm mattersProvide administrative support as needed (i.e. filing, providing client invoice copies, pulling disbursement back up)Flexibility to work additional hours as neededAssist with special projects as neededPerform other duties as assignedRequired SkillsStrong communication skills, both written and oralAbility to effectively present information verbally and in writingBasic math skills: add, subtract, multiply, and divideAbility to use an accounting calculatorAbility to utilize computerized accounting and payables software programs (ie. CMS, Excel, Word)Ability to work effectively individually independently at times with minimal supervision in a fast-paced environmentMust be able to work collaboratively in a team environmentProficiency in MS Office Suite and ExcelStrong attention to detailStrong customer service skillsDemonstrated analytical and problem-solving skillsCan organize, prioritize, plan and multi-task work activities, with the ability to effectively meet deadlines in a high-pressure environmentAbility to adapt to all work situations in order to achieve desired resultsAbility to use discretion with sensitive and confidential informationPreferred SkillsA minimum of 1-2 years billing, finance or accounting experience in a law firm environmentMinimum 1 year experience with 3E or related applicationsEducationHigh School diploma or GED equivalent requiredBA preferredSalary InformationCA Only: The estimated base salary range for this position is $65,000 to $75,000 at the time of posting.The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
