Business Coordinator

Job Description: Business Co-ordinatorDuration: 6-12 months with possible extension or FTE conversion.Location: Remote (LATAM)Position Summary:The IT PMO Analyst / IT Project Coordinator supports the successful delivery of technology initiatives across the organization. This role works closely with IT Project Managers, Product Owners, Infrastructure teams, Application Development teams, Cybersecurity, and business stakeholders to ensure projects are delivered on time, within scope, and aligned to IT governance standards.The ideal candidate has experience in IT project environments, understands SDLC and Agile methodologies, and is comfortable working with technical teams and tools. Strong communication skills and the ability to create compelling executive-level presentations and data visualizations.Key Responsibilities:IT Project CoordinationSupport IT Project Managers in planning, scheduling, and execution of technology projects (applications, infrastructure, cloud, cybersecurity, digital transformation).Maintain detailed project plans, schedules, and task tracking using tools such as MS Project, Team Dynamics, Azure DevOps, or Smartsheet.Coordinate cross-functional IT teams (developers, QA, network, security, vendors).Track deliverables, milestones, and dependencies across workstreams.Facilitate stand-ups, sprint ceremonies, steering committees, and status meetings.Document technical and business requirements, meeting minutes, and action logs.Serve as functional support for TDx PPM (TeamDynamix), including project intake management, workflow updates, reporting configuration, and stakeholder guidance.IT Governance & ComplianceEnsure projects follow IT governance frameworks, SDLC standards, change management, and release management processes.Support stage-gate approvals, CAB (Change Advisory Board) documentation, and production release tracking.Maintain RAID logs (Risks, Assumptions, Issues, Dependencies) for IT initiatives.Portfolio Reporting & MetricsPrepare weekly and monthly IT portfolio dashboards.Track KPIs such as:Schedule varianceBudget varianceResource utilizationSprint velocity (Agile projects)Defect trendsConsolidate updates from multiple IT project managers into executive-level reports.Provide data-driven insights to support decision-making.Financial & Vendor TrackingMonitor IT project budgets, forecasts, and actual spend.Track hardware/software procurement and vendor invoices.Support contract tracking and vendor performance monitoring.Assist with capitalization tracking for IT initiatives where applicable.Risk & Issue ManagementMaintain IT risk registers and escalation logs.Track cybersecurity and infrastructure-related risks.Ensure mitigation plans are documented and followed up.Escalate critical issues impacting production or releases.Continuous ImprovementIdentify opportunities to improve IT PMO processes and reporting automation.Support implementation of new project management tools or enhancements.Contribute to standardization of templates and IT delivery best practices.Assist in lessons learned sessions and post-implementation reviews.Required QualificationsBachelor’s degree in Information Technology, Computer Science, Business, or related field.Experience5–7 years of experience in IT project coordination, IT PMO, or technology project environments.Experience working in Agile, Waterfall, or hybrid delivery models.Exposure to infrastructure, application development, cloud, cybersecurity, or enterprise systems projects.Preferred CertificationsCAPM, PMP (in progress), or PRINCE2Agile certifications (CSM, SAFe, PMI-ACP)ITIL Foundation (preferred for IT operations environments)Experience with TDx (TeamDynamix) PPM or similar project portfolio management platformsExperience configuring workflows, dashboards, and reporting within a PPM toolTechnical Skills:MS Excel (advanced reporting, pivot tables)PowerPoint (executive reporting)MS Project or equivalent planning toolsExperience with:Azure DevOps / Team DynamicsSharePoint / ConfluencePower BI or other reporting toolsUnderstanding of:SDLCChange & Release ManagementCloud environments (AWS, Azure - basic awareness)IT infrastructure components (servers, networks, databases – foundational knowledge).Core Competencies:Strong coordination and stakeholder management skillsAbility to create strong Executive PowerPoint presentationsHigh attention to detail and documentation accuracyStrong analytical and problem-solving skillsAbility to manage multiple projects simultaneouslyProactive and solution-oriented mindset Skills:Business Analysis, Data Visualization, Project co-ordination
