Guest Services Coordinator

Job SummaryGuest Services Coordinators handle the routine office work and administrative responsibilities of the resort, working closely with the RV Resort Manager and other team members.Job DutiesGreets and establishes rapport with guests, current and prospective residents. Fields resort comments, suggestions, and complaints to the RV Resort Manager (Essential)Maintains the petty cash fund, ensuring to record expenditures in the proper accounts (Essential)Performs general administrative functions such as answering phones, typing, photocopying, faxing, filing, and other duties as assigned (Essential)Collects and posts resident security deposits, processing fees, rent, inspection, application or other miscellaneous fees in Yardi; records in the proper accounts and issues receipts (Essential)Prepare and distribute resort communications such as rule reminders, violation notices, newsletters, etc.Assist with accepting guest reservations in person and via phoneEnsure office supplies are sufficiently stocked and prepare supply orders as neededAssist with planning and coordinating guest and resident relations events and activities within the resortAssist with the preparation of marketing materialsMake collection calls for site rental payments as directed; submit bad debt files to collectionsProcess resident move-ins and move-outsComplete and maintain resort records, reports, and filesRefer sales prospects to the RV Resort Manager and/or Sales Manager and enter prospect information into property management/reservation system in a timely mannerObtain approvals on prospective resident applications; track all approvals and denialsAssist prospective residents by checking the status of Sun Homes inventory; review home listings, show homes, and assist with rental applicationsReview and code invoices and other payables & submit to manager approvalOther duties as assignedCheck guests in and out for their reservationsGreet and establish rapport with guests, current and prospective residentsField resort comments, suggestions, and complaints to resort leadershipMaintain petty cash fundRequirementsHigh School Diploma or GED (Required)2 years in administrative experience (Required)6 months in previous experience using property management and/or reservation systems (Preferred)6 months in hotel or resort front desk experience (Preferred)Strong customer service skillsExcellent telephone skillsGood problem solving skillsProfessional appearanceIntermediate to advanced computer proficiency, with ability to use Microsoft Office Suite, email, the internet, and provide data entry in a timely and efficient mannerMust have a valid driver's licenseRewarding BenefitsAt Sun Outdoors, you will be part of an industry-leading organization where you will be challenged, inspired, rewarded and transformed.
