Position Summary
The Industrial Customer Service Coordinator is responsible for interacting in a professional manner with customers and internal customers such as Production, Secondary and Warehouse, Purchasing, Engineering, Sales and external logistics in written and verbal form; properly handle customized processes and procedures designed to comply with customer requirements on customer platforms and SIMTEC ERP system (IQMS); plan, schedule and monitor the work orders to ensure timely order deliveries along with required documentation such as invoices, shipping documentation, certificates of origin, certificates of compliance, etc.
Essential Job Responsibilities
External Customer Contact: responsible for checking, processing, acknowledging and monitoring customer POs and forecasts. Invoicing, creating and transmitting shipping documents to customers’ (via email or EDI platforms). Scheduling and follow up with logistics companies. Assure that all shipments will be made in full compliance with agreements with customers.
Internal Customer Coordination: Schedule and coordinate with Production to ensure orders can be fulfilled by the agreed delivery dates. Monitor progress and update customers as needed. Work closely with accounting to ensure timely receipt of payments and with Engineering to coordinate new projects, sample shipments and tool invoice schedules, etc. update and confirm prices as needed.
Check and verify customer orders and forecasts and create respective entries (e.g. sales orders) and suitable production schedules in ERP, align and confirm with customer.
Plan and schedule the respective resources with Production (e.g. Work Orders, Schedule) and Purchasing (e.g. material) and monitor.
Promptly inform the relevant customers or departments about changes to current production schedules.
Logistics: Prepare and distribute shipping documents, schedule pick-ups according to the customers preferred delivery method, and send tracking information.
Invoicing: responsible for timely and correct invoicing in ERP and customer platforms, including following up and reporting.
Claims Handling: Receive customer complaints, report and initiate containment actions and issue return material authorizations following the respective procedures.
Generate reports to monitor orders, schedule, shipping and inventory levels.
Maintain updated customer records.
Work environment: Adhere to cleanliness standards and product safety guidelines. Maintain a safe work environment by assuring conformance to Company’s policies and good practices.
Additional Job Responsibilities
Conduct special projects as assigned.
Assist in training new team members.
