Legal Practice Assistant - Labor & Employment - Investigations

RESPONSIBILITIES:Investigations Support:Provide administrative and case assistant support to the Investigations teamMaintain and update investigation case lists, tracking deadlines and budgetsEnsure key dates are calendared in master calendars and systems (e.g., Compulaw)Attend and support weekly investigations team meetingsSchedule and coordinate investigative interviews (Zoom and in-person)Assist with drafting, proofreading, and assembling investigative reports and legal documentsAdministrative & Operational Support:Manage attorney calendars, travel, and speaking engagementsPrioritize workflow and manage multiple competing deadlinesCoordinate logistics for conferences, presentations, and meetingsReview and route incoming correspondence appropriatelyOrganize and maintain files, binders, and documentationMaintain shared and individual calendars in OutlookEnter attorney billable time and coordinate with billing teamsPrepare expense reports, check requests, and vendor paymentsProvide backup support to other administrative staff as neededAdditional Support:Assist with business development activities and related projectsSupport litigation-related tasks such as formatting pleadings, e-filing, and TOA/TOCCollaborate with internal departments to complete projects and initiativesMaintain confidentiality of sensitive legal and personnel informationDeliver excellent customer service to attorneys, staff, and external contactsQUALIFICATIONS:High school diploma or equivalent required; Bachelor's degree or legal/paralegal certification preferred7+ years of experience as a legal assistant, legal secretary, or executive assistantExperience in labor and employment law and/or investigations strongly preferredStrong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)Experience with systems such as iManage, Adobe Professional, CCC Macros, and billing systems preferredExcellent written and verbal communication skillsStrong attention to detail and organizational skillsAbility to manage multiple priorities in a fast-paced environmentHigh level of discretion when handling confidential informationProactive, self-starter with ability to work independently and collaborativelyStrong interpersonal skills and ability to work with diverse teamsWORK ENVIRONMENT:Onsite role in Oakland, CA with regular, reliable attendance requiredFast-paced, high-demand legal environmentCollaborative, team-oriented culture with cross-functional interactionBENEFITS:Medical, Dental, and Vision Insurance401(k) Retirement PlanHealth Savings Account (HSA) & Flexible Spending Accounts (FSA)Paid Time Off (PTO)Professional development opportunitiesAdditional firm-sponsored benefits
