Accounts Payable SpecialistJob Category: Clerical Office/Admin Requisition Number: ACCOU008260Full-Time On-site McHenry, MD, USA +7 more locationsDescriptionEssential Responsibilities:Manage high-volume AP functions, including ACH, wire, and check payments for multiple companies across various statesHandle complex vendor disputes and reconciliations, ensuring timely resolution to avoid penalties and service interruptions.Ensure compliance with internal controls, tax regulations in multiple states, and 1099 processingAnalyze expense reports and invoices to ensure proper general ledger codingAnalyze budget reporting to ensure expenses are in line with forecasted figuresAudit and maintain credit card expenses and cardholder complianceProcess tax payables and returns along with annual registrations across multiple states in accordance with government deadlinesEnsure operating and escrow payables are processed accurately and timelyFiling invoices as needed to ensure clear documentationEnsuring proper remittance to all paid partiesProcess all month end and year end reporting required byIdentify opportunities to streamline AP processes and improveAdheres to applicable federal laws, rules, and regulations including those related to Anti-Money Laundering (AML) and the Bank Secrecy Act (BSA)Other duties as assignedMinimum Required Skills & Competencies:Associates degree, or higher, in business, accounting, or financeProficiency in Microsoft suite as well as accounting software such as QuickBooks or OracleBasic knowledge of GAAPStrong communication and teamwork skillsHigh level of organization with ability to multitaskDesired Skills & Competencies:Notary licenseGeneral knowledge of escrow accountingExperience in real estate, property management, or other multi-location industriesAdvanced Excel skills (pivot tables, VLOOKUPs, data analysis).Experience implementing or optimizing AP automation toolsPhysical Requirements:Express or exchange ideas by means of the spoken word via email and verbally.Exert up to 10 pounds of force occasionally, use your arms and legs, and sit most of the time.Have close visual acuity to perform activities such as analyzing data, viewing a computer terminal, reading, and preparing documentation.Not substantially exposed to adverse environmental conditions.The physical demands described here are representative of those that must be met by an employee to successfully perform the essential responsibilities of this job.
