Job Summary:
Summit Line is currently seeking an Executive Assistant to join our Utah team! The Executive Assistant will directly support multiple executives (3 – 4 VP+) schedules, coordinate with internal and external stakeholders, provide logistical and travel support, and work on operations-related projects.
What You'll Do:
Key Responsibilities:
Maintain an accurate and detailed executive calendar; manage and log incoming scheduling requests, re-schedule meetings upon request, proactively communicate changes, and anticipate and respond to scheduling conflicts
Manage all travel scheduling and arrangements, such as lodging and transportation
Manage tasks and projects to ensure appropriate prioritization of projects with respect to deadlines and organizational developments
Organize internal and external meetings, including logistical and substantive preparation
Ensure consistent and efficient interaction with employees across the organization; demonstrate poise and tact under pressure and handle matters with sound judgment and confidentiality
Provide special project leadership and support as needed
Conduct preliminary research on a variety of topics; draft materials as needed
Manage and execute company events as assigned (Safety & Leadership Conference, Leadership offsite, etc)
Perform any other relevant duties as assigned
What You'll Bring:
Qualifications:
Bachelor’s degree is preferred but not required
7+ years of relevant experience in an Executive Assistant or similar role, ideally within a related industry
Must have strong proficiency with Microsoft Office, specifically Outlook, Power Point, and Excel
Must have experience with domestic and international business travel arrangements, coordinating meetings, and tracking credit card and other expenses
Detail-oriented, organized with proven ability to successfully multi-task
Experience managing communication plans, emails, executive schedules, and leading highly sensitive and confidential projects
Positive, flexible, and tenacious attitude
Outstanding interpersonal skills and proven ability to work with high-profile individuals
Experience managing complex event logistics10 – 15% travel
Must undergo a background check and drug test(s)
