This is a hybrid position that supports the IT Director and Deputy Directors in TIA/ Behavioral Health Administration (BHA), IT. Beyond supporting the IT Director and Deputy Director, this position also supports the managers within BHA which includes but is not limited to: Headquarters, Western State Hospital, Eastern State Hospital, Special Commitment Center, Child Study Treatment Center, Olympic Heritage Behavioral Health, Office of Forensic Mental Health, and Behavioral Health and Treatment Centers at Steilacoom, Maple Lane and Brockmann Campus.
Some of what you'll do
Independently perform high-level administrative and secretarial duties for BHA HQ senior managers and their teams
Perform high-level administrative duties/projects using independent judgement and delegated authority
Delegate assignments for completion, determining due dates and providing input regarding completed work as well as making decisions and taking action for supervisor in administrative matters.
Assume responsibility for managing simultaneous projects within established time frames.
Coordinate logistics and materials needed to facilitate meetings, conferences, trainings, conference calls, virtual/online meetings
Serve as the point of contact for attendance, registrations, or meeting/call participation. Takes notes and provides minutes
Make travel arrangements and prepares and processes corresponding travel documentation, while ensuring compliance with relevant travel rules and regulations.
Respond to requests for information using independent judgement and knowledge of the organization, programs, units and work teams.
Assist traveling employees with creation of TEMS profiles and Per Diem guidelines.
Perform LinkedIn Learning Administrator duties such as entering new users, annually renewing user licenses, and collecting usage data of employee learning progress.
Knowledge of basic hiring practices and conducting reference and background checks.
Track recruitment information for each position as well as position incumbent and engages in supervisor’s organizational chart.
What we're looking for
Knowledge of office procedures and practices, records management, business management/practices, research methods, data collection and measuring work production, inventory control, communication, and correspondence practices
Proficient customer service skills along with the ability to work independently, read, understand, and interpret policies and procedures, develop written reports, work effectively with internal and external staff and providers, communicate effectively
Proficiency in working with Microsoft Office 365 applications
Excellent computer skills including accurately typing at a net speed of 50 words per minute
Ability to multi-task and prioritize workload, meet time requirements for submission of data, and operate standard office equipment, such as printer, copier, fax machine, and multi-line phone system
Who should apply?
Professionals who have a high school diploma or GED, with four years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
Formal education and/or training in office or administrative occupations, bookkeeping, or accounting will substitute year-for-year for the experience.
