Learn more about MATC at www.matc.edu.Under general direction of the Senior Executive Assistant to the President and Board of Directors, provides overall support and assistance through coordination of daily operations of the Office of the President; performs a wide variety of administrative and support services of an extremely responsible, complex, and confidential nature. Work requires in-depth knowledge of institution and organization operations, budgets, purchasing, policies, and procedures, and the exercise of independent judgment, ingenuity and discretion in the resolution of minor problems and administrative details. Serves as one of the principal contacts for the District Board and is expected to make a substantial contribution to the organizational culture, efficiency and effectiveness.Characteristic Duties and ResponsibilitiesAdministrative Support: Performs complex and diverse administrative tasks to include but not limited toData entry, word processing, electronic filing, composing routine correspondence, greeting and assisting visitors by directing them to appropriate persons; answering phones, setting appointments, maintaining records, and ordering supplies.Helps to resolve complaints and concerns of students, faculty and external stakeholders.Drafts and prints forms, composes original correspondence and compiles factual reports which require exercise of judgment and knowledge of departmental and district procedures.Receives, opens, sorts and distributes mail.Assists Senior EA with coordination of complex schedules; makes comprehensive travel arrangements and prepares itineraries; prepares and confirms necessary authorizations, check requests, and reservations.Assists in overseeing special projects and managing high-level events and board meetings hosted by the Office of the President, ensuring all logistics align with the organization's brand and mission. Exceptional judgment and the ability to represent the President in a professional, polished manner are required.Along with the Senior EA, coordinates the digital and physical distribution of the monthly board agenda, assists in managing all physical arrangements for board sessions, including room technology, catering and public access.Attends all board meetings to record official minutes, capturing action items with a high-degree of accuracy and legal defensibility.Office Operations: Answers telephones and directs calls to designated personnel. Respond to questions and inquiries by providing information of a technical nature, requiring knowledge of department operations and procedures; exercises discretion in determining the nature of the information to be released; refer unusual inquiries to supervisor for handling.Documentation Processing: Prepares meeting agendas, standard forms, invoices and related documents according to the college procedures and guidelines. Prepare correspondence, memos, minutes, reports and other complex, technical and or confidential documents captured by various methods.Recordkeeping, Data and Tracking: Gathers and/or provides factual information, maintains records, and interprets data requiring reference to a variety of sources; maintains complex statistical reports including designing formats for complex tables, charts and graphs; may conduct special studies to report recommendations as requested. Records management expenses and processes credit card reconciliations. Customer RelationsResponds both orally and in writing to questions relative to the application of district and departmental procedures; edits and proofreads documents; maintains financial, and personnel records and databases, and updates them as necessary. Corresponds and communicates with business partners, legislators, elected officials, community partners and the Wisconsin Technical College System.Committee Involvement: Participates in cross-functional committees, takes minutes and debrief meetings among stakeholders.Continuous Learning & Professional Development: Maintains current knowledge of best practices and standards in higher education with an emphasis on community Colleges. Actively organizes and/or participates in applicable workgroups, committees and professional associations or conferences to promote continuous learning. C-Suite level experience preferred.Preferred Education & ExperienceTwo (2) years of operational support for an Executive or Board position. Hours: This position is a full-time/part-time position and works 40 hours a week (e.g. 8am - 5pm, Monday - Friday). In-person. All work must be performed in the state of Wisconsin. Health Insurance MATC offers a choice between two medical insurance plans. Plan covers eye exam, frames, lenses and contact lenses.Group Life Insurance MATC offers group term life insurance benefits through Madison National Life Insurance Company effective the first of the month of start date and is fully paid for by the College. The amount of insurance is based upon the employee's annual earnings rounded to the higher $1,000.00. The benefit is doubled in the event of accidental death. Supplemental Life Insurance is also available at group rates for employees, spouses, and dependents to purchase. Long-Term DisabilityMATC offers long-term disability insurance through Madison National Life Company after 30 days of employment and is fully paid for by the College. Benefits provided are equal to 66 2/3% of base monthly earnings.Flexible Spending AccountsMATC offers two types of Flexible Spending Accounts (FSA): Health Care FSA Dependent Care FSA This type of benefit allows employees to set aside pre-tax dollars per calendar year for a variety of medical, dental, and vision expenses (for a Health Care FSA) and for day care expenses for children under 13 or family members that are dependent on you for more than half their support (for a Dependent Care FSA) up to a maximum amount.Retirement SavingsRegular full-time employees of MATC who are hired for greater than 12 months become members of the Wisconsin Retirement System (WRS)'s pension system as of day one of employment. The College currently pays the full cost of the employer contribution (6.9%), and the employee pays the full part of the employee contribution of 6.9% of salary. There is a five year vesting period requirement in order to qualify for any employer contributions made on the employee's behalf. Contribution rates are subject to change annually as set by the State. In addition to the WRS pension account, employees may enroll in other optional retirement savings plan such as a 403(b) account or a 457 account on a pre-tax or post-tax basis.Sick LeaveMATC offers employees a generous sick leave plan per year.
