Assistant Property Manager

Building Assistant Property ManagerPosition Summary:Provide supervision and monitoring for all daily property operations including contractadministration, building staffing & tenant relations. This position will require acandidate to assist in the preparation of the financial budgets for operating and capitalexpenses, variance reporting and the preventive maintenance and preservation of themechanical infra-structure and common elements of the property. The candidate must have abasic knowledge of all aspects of property operations & construction; highly ethical,innovative & motivated. He/She shall demonstrate their ability and experience tounderstand contracts, deal with staff issues, read, review and comment onarchitectural/engineering plans and leases and provide guidance to the field staff. Thisposition reports to the Property Manager.Essential Duties and ResponsibilitiesMust be able to understand Managements goals for the property and proactively assist theteam to meet these goalsMust review too understand the building operating plan and help organize a plan to achievethe milestones set in place by the approved annual building business plan.Supervise and assist with the operations of properties and ensure building presentationand operations are maintained according to required standards and proceduresExcellent administration, coordination and customer service skills. Maintain communicationand availability to all staff levels.Help manage the process and procedures associated with the company operating proceduresand protocols.Have a good working knowledge for using a computer and related software (word processing,spreadsheets, etc.).Maintain an open line of communication with the property manager and building corporatemanagement team.Ability to handle multiple projects and assignments, analyze facts & exercise soundjudgment when arriving at conclusions.Participate in the development and review of all property operating reports required.Also, participate in the presentation of the monthly, quarterly and annual reports as maybe required.Assure that accurate records for the status of various projects, tenant requests,preventive & general maintenance; tenant insurance certificates (proper coverage andlimits per lease) & any other data required that can have a consequence against propertyoperations.Must have the ability to communicate clearly and persuasively at all operating levels, andwith vendors and contractors, for both positive and negative situations.Write clearly and informatively with the ability to change writing style to meet the needsof various situations.Must have good problem solving & analytical skillsPerform quality control inspection of tenanted spaces, general building presentation &owner related projects.Have a basic understanding of financial reports.Maintain the necessary checks and balances for consistency that staff is followingmandated procedures, including the processing of purchase orders, sundry charges andtenant requests & notices.·Ability to enforce and have a general understanding of various Federal, State and NYCCodes and regulations involving building operations & construction/capital projects.Perform quality control inspection of tenanted spaces, general building presentation &owner related projects.Performs other duties as directed.Skills/Experience/Education:Bachelors/Masters Degree with related experienceMinimum of 3 years in a similar work environment handling class A real estate.Highly Motivated and a self-starter with leadership qualities.Demonstrated success in the administration of various service contracts.Strong organizational & excellent communication skills (written & oral)Proficient in MS Word, Excel, E-Mail, budgeting software, Yardi & Yardi Procure to Pay(P2P)Customer service mentality and able to work in a team environment.Ability to work independently with minimum supervisionFlexible to handle changing priorities and projectsAbility to prioritize workload with attention to detail and willingness to completeprojects in a timely and efficient manner
