*Program Operations CoordinatorOverview* We are a growing youth soccer business offering camps and training programs throughout the year, including winter and summer camps and seasonal programs. We are looking for a *Program Operations Coordinator* who wants to become an important part of what we’re building. This is not a traditional corporate environment or a position where every day looks exactly the same. We are a small, growing business, which means we value communication, flexibility, initiative, and people who genuinely care about doing good work. This business has been built with a tremendous amount of time, sacrifice, and personal investment, and we are looking for someone who will treat the role with that same level of care and responsibility. We don’t expect someone to know everything on day one. We will train the right person on our programs, systems, and the way we currently operate. Initially, you’ll work closely with the owner to learn the business and take over many of the administrative and operational responsibilities he currently handles. The long-term goal is for you to confidently *own the day-to-day operations of our programs*, allowing the owner to focus his time on coaching, developing new programs, building relationships, and growing the business. Our workload changes throughout the year. During camp registrations, program launches, and other busy periods, there may be more emails, registrations, updates, and deadlines to manage. Other periods can be significantly quieter. We are looking for someone who enjoys that flexibility and can step up when things get busy while staying organized and proactive when things slow down. For the right person, there is significant potential to grow alongside the business as we continue expanding our programs. *Responsibilities* * Manage day-to-day administrative operations for our soccer programs and camps. * Monitor and respond to emails and communicate professionally with parents and participants. * Create, update, and manage program registration pages, links, and forms. * Maintain and update program information on our Squarespace website. * Prepare and send email announcements, registration launches, reminders, program updates, and other communications. * Organize registration information and maintain accurate participant lists and program records. * Keep track of upcoming programs, important dates, registration deadlines, and required communications. * Help coordinate the administrative side of winter camps, summer camps, and programs offered throughout the year. * Work closely with the owner during the training and transition period to learn existing processes and gradually take ownership of them. * Identify tasks that need attention without always waiting to be told what to do. * Help improve organization, systems, and processes as the business grows. * Meet in person approximately once per week when needed and communicate by phone throughout the week. * Take increasing ownership of program operations with the goal of independently managing the day-to-day administrative side of the business. *Requirements* * Highly organized, dependable, and detail-oriented. * Comfortable spending a significant portion of the role working on a computer. * Strong written communication skills and comfortable communicating professionally with parents and customers. * Comfortable learning and working with online platforms, registration systems, email tools, and websites. * Experience with Squarespace is helpful but not required if you’re comfortable learning new technology. * Able to manage multiple programs, deadlines, and responsibilities without things falling through the cracks. * Self-motivated and comfortable working independently. * Willing to take initiative, ask questions, solve problems, and suggest improvements. * Flexible with a workload that naturally increases and decreases throughout the soccer program and camp calendar. * Available for regular communication with the owner and occasional in-person meetings. * Interested in growing with a small business and taking on greater responsibility over time. *Most importantly, we’re looking for the right personality and mindset.* We want someone who enjoys organization, communication, and making things run smoothly behind the scenes.
