This role serves as the primary liaison between clinic teams and corporate finance, driving adoption, compliance, and operational excellence across vendor setup, payment workflows, and system integrationHow You’ll Make Us BetterServe as the primary point of contact for newly affiliated clinics throughout vendor onboarding, driving accountability across internal and external stakeholdersProvide clear, proactive communication to ensure clinics are supported while reinforcing standard processes and expectationsCompile and maintain complete vendor profiles, including purpose, documentation, and system access, ensuring proper controls and data integrityTrack onboarding progress using standardized tools, ensuring visibility, timely completion, and proactive issue resolutionGuide clinics through Workday onboarding, ensuring accurate setup, approval routing, and successful execution of initial paymentsIdentify and resolve onboarding issues such as missing documentation, banking validation, workflow gaps, escalating as neededCoordinate vendor credit applications, ensuring accuracy and timely completionEnsure accurate vendor setup, including proper 1099 classification and compliance with company policiesPartner with Accounts Payable leadership to continuously improve onboarding processes, controls, and standardsSupport change management efforts to ensure smooth transitions with minimal disruption to clinic operationsIdentify trends, risks, and improvement opportunities within onboarding and early payment cyclesProvide reporting and analysis as neededPartner with Procurement to align vendor onboarding with Smile Doctors’ procurement strategy for newly affiliated clinicsBuild relationships with preferred vendors to ensure a seamless transition experienceIdentify opportunities to transition clinics to preferred vendors to drive standardization, cost optimization, and efficiencyEvaluate existing clinic vendor relationships and recommend alignment or transition plansSupport onboarding into Smile Doctors’ procurement systems and processesThis role requires use of approved AI tools to perform assigned tasks more efficiently and effectivelyIntermediate knowledge of Microsoft Office, including Excel, Outlook, and WordIntermediate knowledge of Workday Financials or similar ERP systemFamiliarity with procurement principles, vendor standardization, and supplier lifecycle management Your Special SkillsStrong oral and written communication skillsStrong customer service skillsStrong organizational and problem-solving skillsPrerequisites For SuccessHigh School diploma required; Associates degree preferredFive (5) years of accounts payable and vendor administration experience in a corporate or shared services environment required Experience with process ownership, vendor onboarding, Accounts Payable operations, and 1099 preparation and/or compilation requiredWe saved the best for last.In exchange for the dynamic contribution you’ll bring to our team, we offer:Competitive salary Medical, dental, vision and life insurance Short and long-term disability coverage 401(k) plan 3 weeks paid time off in your first year + paid holidays Discounts on braces and clear aligners for you and your family members Why Smile Doctors?As the nation’s leading Orthodontic Support Organization, Smile Doctors is shaping the future of orthodontics through strategic partnerships with top local doctors.
