Job Title: Clerk, Special Education Reports to : Assistant Director of Special ServicesWage Status: Non-ExemptDepartment/Campus: Special ServicesPay Grade: Paraprofessional - PG 3Work Days: 197Primary Purpose:Ensure efficient operation of Special Services administrative offices and provide clerical services for special education assessment staff.Qualifications:Education/Certification:High school diploma or GEDSpecial Knowledge/Skills:Ability to work well with peersAbility to communicate effectivelyProficient knowledge MS Word software, and file maintenanceEffective organizational, communication, and interpersonal skillsAbility to use personal computer and software to develop spreadsheets, databases, and word documentsExperience:At least one year of clerical support experienceEssential Job Functions:Provide clerical assistance to Educational Diagnosticians, LSSPs, and Speech Pathologists to ensure that required documentation associated with student IEPs is distributed as requiredAssist with scheduling of ARD meetings, including contacting parents and required staffAssist with preparation of materials for mailing/emailingAssist in ensuring original records are provided to the special services office in a timely mannerUtilize online system to enter data necessary for processing referrals to special education, preparing for ARD meetings and coordinate with staffReceive incoming calls, take reliable messages, and route to appropriate staffPrepare written correspondence forms, schedules, or reports as requestedPrepare meeting agendas and communication as requestedEnsure work is correct, neat, and completed in a reasonable time, and meets, required deadlines.Greets visitors; responds to questions, provides information, documents, and instructions or directs visitor to appropriate partyResponds to requests for information via mail, phone or in-person; gathers appropriate forms and documents, searches for and copies documents from archived records and forwards to requestorMaintain physical and computerized files including inventory of mailing lists, student records, logs, and office communicationAttends meetings as required and provide clerical supportOpens sorts and distributes incoming mail and processes outgoing mail as neededCopies, distributes and files paperwork such as records or general correspondencePerforms data entry into automated programs to track required student information, filings, or other pertinent data, depending on assignmentPrepares correspondence, memos, forms and reports using electronic applications software if assigned, depending on assignmentExpectations:Maintain confidentiality of student informationAccuracy - work is neat and correct and completes all work assigned.Personal attributes - neat and clean in dress and appearance, works with others in a positive manner, adapts quickly to changing situations, arrives to work on timeProfessional Behavior - maintains high level of ethical behavior, avoids gossiping, handles confidential information, avoids speaking ill of other personnel, and avoids doing personal business at workStudent Relations - shows respect to students, shows concern and encouragement for students and has positive attitude when working with studentsGeneral Attributes - demonstrates ability to remain calm and withstand pressurePublic Relations - Interacts well with students, parents, teachers, peers, and the general public and promotes a positive image of self and schoolReport to work in a timely manner according to assigned scheduleTravel within the district to assigned locationsPerform other duties as assigned by the supervisor or other administrator that are consistent with the general requirements and qualifications for the positionSupervisory Responsibility:NoneEquipment Used:Personal or laptop computer, printer, copier, fax machine, shredder, calculator, telephone, electronic mobile devices, projector, and video display monitor and/or wheelchair lift adaptive equipment and ramps as needed.Working Conditions:Physical Demands /Mental Demands/ Environmental Factors:The working conditions described are representative of those that must be met by an employee to successfully perform the essential functions of this job.
