Live-out Chief ButlerA warm and welcoming prominent UHNW couple who reside outside of Washington DC is looking to hire a seasoned Live-out Chief Butler. The Chief Butler is responsible for the management, maintenance, presentation, and operational oversight of multiple luxury residential properties owned by the family. This role oversees household personnel, vendors, contractors, events, security, vehicle maintenance, financial coordination, and property operations while ensuring each residence is maintained to the highest standards of excellence and discretion.The Chief Butler serves as the primary operational lead for all residential properties and is expected to remain proactive, highly organized, service-oriented, and available to respond to property-related matters at all times.Compensation: $180,000 - $200,000 plus health benefitsChief Butler ResponsibilitiesPrimary ResidencePersonnel Management Provide direct supervision and leadership for all household personnel, including: Four (4) full-time employees Two (2) part-time employees Seasonal maintenance/handyman personnel as needed Manage staffing assignments and daily household operations across all property areas, including: Main House Upper and lower floors Carriage Houses Indoor swimming pool and bathrooms Laundry and dry-cleaning operations General household maintenance Develop and maintain daily staff schedules and assign responsibilities accordingly. Coordinate monthly deep-cleaning schedules for all buildings and common areas, including basements and seasonal-use spaces. Oversee seasonal cleaning and maintenance of the Pool House. Ensure all personnel maintain professional appearance standards and wear designated uniforms. Coordinate procurement and distribution of two seasonal uniforms annually (winter and summer). Maintain immaculate cleanliness and presentation standards across all buildings, patios, and outdoor furnishings. Participate in personnel hiring, termination, replacement, and staffing decisions in consultation with property owners. House Maintenance Conduct daily inspections to ensure all furniture, carpets, upholstery, fabrics, and finishes remain in pristine condition. Ensure all bathrooms, kitchens, and common areas are thoroughly cleaned and maintained daily. Immediately report any damaged, missing, or defective furniture, artwork, or household items. Create and maintain inventory records for fine china, artwork, furnishings, and household assets. Submit inventory discrepancy reports every six months. Develop and oversee preventive maintenance schedules for elevators, refrigerators and warming appliances, alarm systems, general painting and repairs and household appliances. Oversee maintenance and servicing of household vehicles Coordinate recurring household services (pest control, quarterly window cleaning, patio and exterior maintenance, furniture repair and refinishing). Maintain expense records and coordinate authorization procedures with Family Office. Manage appropriate use and reconciliation of the household credit card. Contractor & Vendor Management Supervise all contractors and vendors while on-site to protect the property from damage, loss, or theft. Obtain a minimum of three competitive quotations for projects and repairs unless a sole-source provider is required. Prepare written vendor recommendations and budget summaries for approval. Obtain authorization from Family Office for all expenditures exceeding $1,000. Coordinate contractor scheduling, project completion, and quality control. Financial Oversight Maintain organized records of household expenses and operational budgets. Coordinate expense reporting and credit card reconciliation with the Project Accountant and Corporate Treasurer. Monitor vendor invoices and ensure approved payments are processed accurately and timely. Vehicle Maintenance - Special Vehicle Collection Coordinate annual inspections, detailing, servicing, and transportation for all specialty vehicles. Arrange vehicle transport to dealerships when necessary. Monitor registration renewals and license plate expirations. Oversee routine cleaning and appearance maintenance of all vehicles. Conduct weekly inspections to assess vehicle condition and cleanliness. Events & Social Functions Coordinate and oversee all private, political, corporate, and social events hosted at the properties. Prepare and organize event spaces including the main house, carriage houses, pool house and gardens and outdoor venues. Coordinate furniture layouts, décor, floral arrangements, entertainment, and media requirements. Assist with guest list preparation and event logistics. Coordinate with the Mrs. regarding event agendas, seating charts, decor concepts, guest accommodations and special event arrangements. Work with caterers and vendors on menu planning, staffing, dish ware, glassware, and guest dietary accommodations. Coordinate valet services, parking logistics, and event flow. Security Management Ensure all five property buildings are properly secured daily. Activate and monitor alarm systems when the family is away. Respond promptly to fire and burglar alarms and coordinate with local authorities as required. Coordinate police and fire department support for special events when appropriate. Availability Maintain 24/7 availability for urgent property-related calls, emergencies, and operational matters. Personnel Relations Foster a positive, respectful, and productive work environment. Address and report employee concerns, disputes, or performance issues. Support employee accountability, morale, and professional conduct. Personnel Attendance Oversight Monitor employee attendance, arrival/departure times, vacation schedules, and sick leave. Maintain accurate staffing and scheduling records. Household Errands Coordinate and execute household errands efficiently, including dry cleaning, prescription pickups, convenience shopping, miscellaneous household requests. Seasonal & Special Projects Coordinate annual spring cleaning and seasonal property preparation. Oversee winter pool maintenance and related systems. Ensure daily upkeep of family changing rooms, pool towels, and pool facilities. Maintain cleanliness and organization of trash disposal and storage areas. Coordinate semiannual library cleaning and book dusting. Arrange annual chandelier and lamp cleaning, including replacement of bulbs as needed. Coordinate annual deep carpet cleaning and ongoing spot maintenance. Oversee gym maintenance and biannual equipment servicing. Manage organization of storage areas and household equipment. Coordinate weekly floral arrangements throughout the residence. Oversee holiday decorating, including décor, exterior lighting, and ornament inventory management. Coordinate with landscaping vendors regarding seasonal plantings and garden maintenance. Florida ResidenceProperty Oversight & Management Conduct quarterly property visits (2-3 days each) and additional visits prior to family arrival. Supervise overall integrity, appearance, and operational readiness of the property. Coordinate monthly property services including: Pest control Cleaning services Alarm monitoring Utility and vendor payments Oversee weekly swimming pool maintenance and semiannual exterior power washing. Manage relationships with the Property Manager, cleaning vendors, and contractors. Coordinate furniture, artwork, and décor deliveries. Liaise with the Interior Designer regarding furnishings and home décor projects. Supervise all contractors and monitor for property damage, missing items, or quality issues. Obtain and review three contractor quotations when applicable. Obtain authorization for expenditures exceeding $1,000. Conduct quarterly inspections of furniture, carpets, and interiors to ensure immaculate presentation. Maintain inventory records for artwork, furniture, and outdoor furnishings. Develop preventive maintenance schedules for elevators, appliances, alarm systems, painting and vehicles. Coordinate recurring services including window cleaning, carpet cleaning, exterior maintenance and patio and veranda upkeep. Organize annual carpet cleaning and spot maintenance. Coordinate annual spring cleaning preparation. Oversee storage and placement of patio furniture and cushions before and after guest visits. Obtain weekly status updates from the Property Manager regarding HVAC systems, lighting, pool conditions, and outdoor furniture. Coordinate biannual gym equipment servicing. Oversee annual chandelier and lighting maintenance. Ensure proper trash management and sanitation during guest occupancy. Coordinate landscape and garden maintenance. Oversee vehicle maintenance, oil changes, battery checks, and cleaning. Ensure alarm systems are fully engaged when the property is vacant. Respond to emergency alarms and coordinate with local authorities and family members. Coordinate bookkeeping, expense reporting, and credit card reconciliation with the Project Accountant and Corporate Treasurer. Maintain 24/7 availability for urgent property-related matters. Indiana ResidenceProperty Oversight Visit the property every six months. Inspect appliances and building systems to ensure proper operation. Coordinate necessary repairs and maintenance with condominium management. Ensure the property remains maintained and operationally ready. Authority & Decision-Making Maintain operational oversight of personnel, contractors, vendors, and household maintenance activities. Exercise authority to make staffing and operational recommendations in consultation with ownership. Obtain approval for expenditures exceeding $1,000. Report financial matters, inventory discrepancies, and operational concerns to the Project Accountant and designated family representatives. Remain proactive in identifying issues, maintenance needs, and operational improvements to preserve the integrity and exceptional standards of all properties. Qualifications & Competencies Extensive experience managing luxury private residences, estates, or hospitality operations. Strong leadership and personnel management skills. Exceptional organizational and multitasking abilities. High level of discretion, professionalism, and confidentiality. Experience coordinating vendors, contractors, and household events. Knowledge of property maintenance, household operations, and inventory management. Ability to work flexible hours and maintain 24/7 availability when required. Strong communication and problem-solving skills. Financial tracking and expense management experience preferred. Valid driver's license and ability to coordinate vehicle servicing and transportation. Work EnvironmentThis position operates across multiple luxury residential properties and requires flexibility, periodic travel, and hands-on oversight of household operations, events, maintenance projects, and personnel management.
