JOB DESCRIPTION The Executive Assistant is primarily responsible for assisting lawyers and law and title associates with document preparation and legal filings; monitoring and assisting in achieving project milestones; and maintaining critical operational infrastructure. Duties include but are not limited to: Legal Assistance Assist attorneys and paralegals with research, data gathering, and fact-checking. Review and prepare corporate organizational due diligence. Draft corporate organization documents including resolutions, bylaws, and forms prescribed the Secretary of State and IRS. Review and prepare project financing due diligence. Prepare and manage document transmittals. Project Management Update and maintain internal project management software (Monday.com, Sharepoint). Organize and manage project electronic files. Communicate with and provide updates to clients and other parties to the transaction and their attorneys. Administrative Create and update style/formatting in Word and Excel documents. Create Word and Excel templates. Edit and proofread documents. Executive Support Email management (Routing, Reply on Behalf-Of) designated attorneys. Complete and submit expense reimbursement reports on behalf of designated attorneys. Marketing Social media administration (Blogs, Facebook, Twitter, LinkedIn, YouTube) Website administration, including regular content audits and updates. REQUIRED SKILLS Highly organized and detail-oriented. Keen problem-solving skills. Adaptable and unflappable. Strong project management skills. Excellent time management skills with a proven track record of meeting deadlines. Excellent verbal and written communication skills. Excellent interpersonal and relationship-building skills. Ability to collaborate and work effectively in a team environment. Expert in Microsoft Office Suite (Outlook, Word, Excel, Powerpoint). Adept at fully utilizing various features of project management software (e.g., Monday.com, Smartsheet) Proficient with online file sharing tools (e.g., Sharefile, Box, Dropbox, Procurem). EDUCATION AND EXPERIENCE Minimum 3 to 5 years’ experience that includes the duties listed above. Advanced degree in a relevant field such as paralegal studies, secretarial studies, or project management, preferred PHYSICAL REQUIREMENTS Prolonged periods sitting at a desk, typing on a keyboard, and viewing computer monitor(s). Must be able to lift up to 15 pounds at times. Occasional evening and weekends required, particularly during project closings.
