Position Summary
This is a hands-on, high-impact role responsible for managing the day-to-day operations of two office, warehouse, and light manufacturing support facilities located within a half-mile radius.
This role combines workplace operations with executive support. You will ensure the workplace is organized, well-stocked, and ready to support employees, leadership, and customers at all times, while managing non-production supplies and coordinating closely with property management and the Plant Manager.
You will also support senior leadership with coordination of meetings, travel, and customer engagements, requiring strong judgment, professionalism, and the ability to operate with discretion.
Success in this role requires operating with urgency, ownership, and flexibility in a fast-paced, evolving environment with shifting priorities. You will manage multiple demands across facilities, leadership needs, and events—often with limited structure—while ensuring execution at a high standard.
Key Responsibilities
Facility & Workplace Operations
Oversee daily operations of two facilities, ensuring workplace readiness and operational efficiency
Maintain office, warehouse, and shared spaces to be clean, safe, and fully stocked
Conduct regular walkthroughs to identify and resolve issues proactively
Partner with the Plant Manager to coordinate repairs, preventative maintenance, and facility improvements
Partner closely with property management and the Plant Manager on facility needs and priorities
Vendor & Cost Management
Manage vendor relationships (cleaning, maintenance, security, catering, etc.)
Negotiate contracts, monitor performance, and control costs
Ensure vendor quality, responsiveness, and reliability
Office & Administrative Operations
Manage non-production supplies, including office and cleaning materials
Oversee mailing, shipping, inventory tracking, and equipment upkeep
Handle facility billing, invoice reconciliation, and basic budget tracking
Executive & Leadership Support
Support senior leadership with meeting coordination, scheduling, and logistics
Coordinate travel, customer engagements, and leadership meetings with a high level of organization and professionalism
Ensure leadership priorities, meetings, and visits are well-prepared and executed
Handle sensitive information with discretion and maintain confidentiality
Balance executive support needs with ongoing workplace operations
Customer, Training & Event Coordination
Own coordination and execution of customer visits, leadership meetings, and company events
Coordinate logistics including scheduling, food ordering, setup, and cleanup
Partner with cross-functional teams to ensure readiness across departments
Support coordination of training sessions, onboarding activities, and internal events
Ensure all events, visits, and training sessions are executed professionally
Communication & Coordination
Coordinate across teams to support workplace needs, leadership priorities, and operational alignment
Hands-On Execution
Take a proactive, "do what it takes" approach to ensure operations run smoothly
Step in to resolve immediate issues, including cleaning, setup, or coordination gaps
Prioritize and make decisions on workplace and operational needs with minimal oversight

Requirements
5+ years of experience in office management, facilities, workplace operations, or executive support
Experience supporting senior leadership or high-visibility environments preferred
Experience in multi-site or fast-paced environments preferred
Strong vendor management and coordination experience
Excellent organizational, prioritization, and problem-solving skills
Ability to manage multiple priorities with limited structure
Strong communication skills and professional presence
Proficiency in Microsoft Office (Excel required); Google Workspace is a plus
Work Environment & Expectations
Fully on-site role (Carrollton, TX)
Availability outside standard business hours as needed to support operations, leadership, and customer needs
Must be comfortable in a hands-on role that includes both strategic coordination and day-to-day execution
