Multi-Department Secretary - Finance/Human Resources (For the 2026-2027 School Year)

Job Title: Multi-Department Secretary-Finance/ Wage/Hours Hourly/Nonexempt Human Resources Pay Plan/Pay Grade: CP/4 Reports to: Executive Director of Finance Dept./School: Clerical/Central Office and Executive Director of HRPrimary PurposeProvide reception assistance for central office. Organize and manage routine work activities for the Finance Department and Human Resources Department. Provide clerical services to central office directors and other central office staff members.QualificationsEducation/Certification:High School diploma or GEDExperienceThree (3) years or more secretarial/clerical experience with extensive contact with people required.Prior experience in public schools, school district, or another entity preferred.Special Knowledge/SkillsStrong organizational, communication, and interpersonal skillsProficient keyboarding and file maintenance skillsAbility to use personal computer and software to develop databases, spreadsheets, and word processing.Ability to communicate effectively (verbal and written)Bilingual: English/Spanish preferredMajor Responsibilities And DutiesReception and Phones: Receive and direct incoming calls, take reliable messages, and route to appropriate staffReceive, sort, and distribute mail, packages, order goods, and other documents to department staffGreet and direct district visitorsSchedule maintenance and IT work orders for Central Office StaffMaintains inventory and orders office supplies for accounting/finance and human resources departmentAccounting/FinancePrepare routine entries and post financial transactionsAssist accounting/finance department with clerical duties and special projectsProcess payroll data for all school district employeesDistribute Comp Time ReportUpload E-Rate DataAssist with Time and Effort logs and semi-annual certifications for federally funded personnelMaintain an established filing system by preparing files, placing documents in the appropriate files and by pulling files as directedHuman ResourcesAssist human resources department with clerical duties and special projectsMaintains Absence Management-FrontlineMaintains Personnel/Employee FilesPerforms and maintains imaging of records for the Human Resources DepartmentConducts regular verification to ensure that all employee files contain appropriate documents requiredSchedule drug tests-new spreadsheet for Transportation Department DMAC (2nd Approver/Assist Teachers)Provides any document from employee's personnel file as requested by Human Resources Department Staff or Finance Department StaffOtherPerform all duties as assignedSupervisory ResponsibilitiesNoneMental Demands/Physical Demands/Environmental Factors Tools/Equipment Used: Standard office equipment including personal computer and peripheralsPosture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twistingMotion: Repetitive hand motions, frequent keyboarding and use of mouse; occasional reachingLifting: Occasional light lifting and carrying (less than 15 pounds)Environment: Work inside; some districtwide travel; occasional statewide travelMental Demands: Work with frequent interruptions; maintain emotional control under stressTerms Of EmploymentPrimary Location: Central Office2025-2026 Clerical/Paraprofessional Pay PlanSalary Range: $18.54 (Minimum) - $22.34 (Midpoint)Shift Type: Full-TimeTerm of Employment: 226 daysMust attach the following with the On-line Employment Application (http://www.anthonyisd.net/departments/hr/employment )1.
