Administrative Assistant (Commercial Real Estate Brokerage)We are partnering with a high-performing Commercial Real Estate brokerage team seeking an experienced Administrative Assistant / Broker's Assistant to support a group of top-producing brokers in a fast-paced, deal-driven environment.This role is highly analytical and production-focused, centered on data, reporting, and client deliverables—not traditional administrative assistant support. The ideal candidate is confident working with numbers, highly proficient in Excel + PowerPoint, and thrives in an environment where priorities shift quickly based on active deals.Role OverviewRole Type: Administrative / Broker Support (Commercial Real Estate)Team Structure: Support for 3 primary brokers with additional team coverage as neededEnvironment: High-volume, fast-paced brokerage settingFocus: Data analysis, reporting, and marketing/lease deliverablesKey ResponsibilitiesBuild and maintain complex Excel models and datasets related to:Lease comparisonsRental rate analysisFinancial obligations and percentagesDeal flow tracking and validationCreate and edit brokerage deliverables, including:Proposal summariesLease abstractsMarket surveysPowerPoint presentationsConduct phone and online research with external leasing contacts nationwideAssist in preparing maps, comps, and supporting visual materials for presentationsIdentify inconsistencies in data and proactively resolve gapsSupport multiple brokers and shift priorities based on deal urgencyProvide backup coverage for administrative team members as neededMaintain momentum on time-sensitive deliverables in a high-pressure environmentRequired Qualifications2–3+ years of professional office experienceAdvanced Excel proficiencyStrong PowerPoint skills, including template editing and formattingStrong analytical mindset with demonstrated comfort working with numbers and dataAbility to identify inconsistencies and problem-solve independentlyStrong work ethic and team-first mentalityConfident communication style; willingness to ask questions, follow up, and push for clarity when neededPreferred QualificationsCommercial Real Estate (CRE) experience strongly preferred but not requiredExperience in research-heavy or data-driven rolesComfort making outbound calls for information gathering and validationIdeal Candidate ProfileStable professional background with solid tenure in prior rolesNot seeking a highly linear or rapid upward career track at this stageComfortable in high-demand, deadline-driven environmentsHighly assertive, proactive, and self-directedStrong ability to manage up and keep stakeholders accountableTeam-oriented with a positive, grounded presenceCompensationTarget Range: $60,000 – $65,000Compensation flexibility is possible for exceptional candidates with strong CRE or highly relevant experienceSchedule & Work EnvironmentFast-paced brokerage environment with deal-driven workload fluctuationsOccasional overtime based on deal flow (not consistent)Collaborative admin support structure with strong team coverage9/80 schedule (every other Friday off)BenefitsYear-end merit bonus eligibilityHealth insurance (company covers approximately 50%)Key Success Factors in This RoleAdvanced Excel capability (critical)Strong numerical reasoning and attention to detailAbility to dig into data and independently resolve issuesOwnership mindset with strong follow-throughAbility to perform in a fast-moving, high-accountability environment
