Accounts Payable Specialist

Accounts Payable Specialist HTE Technologies, a wholly owned subsidiary of Tavoron, has long been recognized as the region's leading industrial productivity services company. We serve the manufacturing and processing industries with a comprehensive range of equipment and services, including compressed air, vacuum, blowers, and cooling water systems.We are currently seeking a detail-oriented and organized Accounts Payable Specialist to join our team. This position is responsible for managing and processing vendor invoices, ensuring timely and accurate payments, and maintaining positive vendor relationships.The ideal candidate will possess strong organizational skills, a high level of attention to detail, and the ability to work collaboratively across departments to resolve discrepancies and support overall financial operations.Key ResponsibilitiesReceive and manage vendor invoices via email and mailReview and reconcile trade vendor invoices against purchase orders for accuracyReview expense invoices for proper approval, accuracy, and account codingAnalyze and resolve invoice discrepancies by partnering with inside sales and receiving teamsPost vendor invoices both electronically and manually, including through automated AP systemsPrepare weekly cash requirements and generate approved check run listingsProcess payments (checks, ACH, wire transfers), including matching invoices to paymentsInvoice customers for direct vendor shipmentsReview freight vendor invoices and allocate charges appropriately to customersReconcile and process customer creditsMatch vendor returns with credit memos and enter into the payables systemMonitor vendor statements and research outstanding balancesPerform additional duties as assigned by managementQualifications35 years of accounts payable or general accounting experience, including: Reviewing and entering vendor invoicesMatching invoices to purchase orders and supporting documentationWorking within ERP/accounting systems (e.g., QuickBooks or similar)Processing payments via ACH, wire transfers, and checksReconciling vendor statements and outstanding balancesUnderstanding of audit requirements and internal controlsExcellent verbal and written communication skillsStrong interpersonal skills with the ability to manage challenging vendor interactions professionallyHigh attention to detail with a strong focus on accuracyAbility to quickly learn and adapt to new systems and processesSelf-motivated with the ability to work both independently and collaborativelyStrong organizational and multitasking skills; ability to meet deadlines in a fast-paced environmentProficiency in Microsoft Office Suite and Windows-based programsExperience in manufacturing or distribution environmentsFamiliarity with AP automation tools or document management systemsWhy Join Us?Collaborative team environmentOpportunity to contribute to process improvementsStable and growing organizationPhysical Demands.
