This role requires a high degree of discretion, initiative, accuracy, and professionalism. The position is responsible for managing calendars, communications, travel arrangements, documentation, and administrative workflows while ensuring smooth day-to-day operations for leadership and their teams.The ideal candidate is highly organized, proactive, and capable of managing multiple priorities in a fast-paced environment with competing deadlines and stakeholders. This role also requires strong communication skills, attention to detail, and the ability to handle confidential information appropriately.ResponsibilitiesExecutive & Calendar SupportManage complex calendars for one or more leaders, including scheduling, prioritization, and conflict resolution.Anticipate scheduling needs and proactively coordinate meetings across multiple stakeholders and time zones.Organize and support internal and external meetings, including agenda preparation and material distribution.Ensure meeting logistics are handled effectively, including virtual meeting setup, room reservations, and technology coordination.Track meeting follow-ups, action items, and deliverables to ensure completion.Communication & Office CoordinationManage inboxes and prioritize communications on behalf of leaders as appropriate.Draft, format, proofread, and distribute correspondence, presentations, and reports.Maintain and update distribution lists, shared documents, and internal communication platforms.Serve as a professional point of contact for internal and external inquiries, routing requests to appropriate stakeholders.Travel & Expense ManagementCoordinate domestic and international travel arrangements, including flights, lodging, transportation, and itineraries.Assist with travel documentation requirements such as visas, passports, and related logistics when needed.Prepare, review, and submit expense reports in compliance with company policies.Track and reconcile travel and business expenses accurately and in a timely manner.Administrative & Operational SupportMaintain shared team resources such as SharePoint sites, seating charts, and organizational directories.Support data gathering, basic reporting, and simple analysis for leadership requests.Assist with small projects and special assignments, ensuring timely completion and follow-through.Maintain accurate records and support document management practices.Process Improvement & Team SupportIdentify and implement opportunities to improve administrative processes and workflows.Support consistency and best practices across administrative functions and tools.Collaborate with administrative peers to improve efficiency and service quality.Utilize digital tools and enterprise systems to streamline administrative tasks and reporting.Skills And QualificationsRequired QualificationsHigh school diploma or equivalent required; associate or bachelor’s degree preferred.Minimum of 3+ years of administrative support experience in a corporate or professional environment.Proven experience managing calendars, scheduling meetings, and coordinating travel arrangements.Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).Excellent written and verbal communication skills.Strong organizational skills with high attention to detail and accuracy.Ability to manage multiple priorities and deadlines in a fast-paced environment.Demonstrated ability to handle confidential and sensitive information appropriately.Experience working independently with minimal supervision.Strong customer service mindset and professional demeanor.Preferred QualificationsExperience supporting multiple leaders or complex organizational structures.Familiarity with enterprise systems such as Workday, SharePoint, or similar platforms.Experience with travel and expense reporting systems.Exposure to corporate communications, document management, or administrative process improvement.Experience supporting cross-functional teams or large organizations.Core CompetenciesExecutive SupportCalendar & Schedule ManagementTravel CoordinationExpense ReportingCommunication & CorrespondenceOrganizational SkillsTime ManagementConfidentiality & DiscretionProblem SolvingProcess ImprovementStakeholder CoordinationMicrosoft Office ProficiencyCustomer Service OrientationAttention to DetailAdaptability & InitiativeJob DetailsLocation: Houston, TXSchedule: Monday-Friday, Hybrid 3-4 days in OfficeCompensation: $32-$35/per hr
