About the Firm and RoleBlack Swift Group, LLC is a Boulder, CO-based investment manager with a 10-year track record. Black Swift is currently searching for a new Client Operations Associate to join its team of seasoned professionals. The candidate will focus on the client services and office management functions for the firm. The role supports our separate account management business alongside Black Swift's alternative investment funds, while owning the day-to-day operations that keep the office running. The ideal candidate is highly organized, detail-oriented, professional, and resourceful, with proven experience running an office. We are looking for a self-starter who thrives in a collaborative environment. The individual will join a small, dedicated client services team in our Boulder, CO office.Key ResponsibilitiesClient ServicesRespond to client requests and investor queries, providing support to the Client Services teamCommunicate directly with clients to gather necessary details, ensuring accurate notes and reportingOnboard new clients and accountsOpen client accounts and process money movement requestsAttend meetings, preparing clear, detailed notesAnswer and direct incoming phone calls with professionalismBuild and maintain presentation decks for quarterly and annual client review meetingsWrite and distribute monthly financial planning newsletters and other client-facing educational contentPrepare marketing materials, client reports, and periodic updatesAssist in the creation of technical marketing material and analysesMaintain industry databases and online investor portalsMonitor investor transactions, coordinating with accounting, operations, and the fund administrator to reconcile investor activity, ensuring proper setup of new investorsMaintain and update CRM system to ensure accurate client recordsPrepare and review paperwork with a high degree of accuracySupport other staff members with administrative or operational tasks as needed Office ManagementServe as the primary point of contact for building management, vendors, and outside service providersOrder and maintain office supplies, equipment, and technology, keeping the office fully stocked and functionalCoordinate calendars, travel arrangements, and meeting logistics for the teamMaintain organized physical and digital filing systems, including compliance and client recordsProcess incoming mail, scanning, distributing, and filing as appropriatePlan and coordinate client meetings, office events, and team functions, including catering and setupTrack invoices, expenses, and vendor payments, submitting them for approvalGreet clients and guests, ensuring a professional and welcoming office environment QualificationsRequiredBachelor's degree5+ years of meaningful work experience in the investment management industryDemonstrated experience in office management or administrative operations, ideally as the person responsible for keeping an office runningStrong analytical skills with a working knowledge of equity investmentsStrong attention to detail with the ability to produce error-free workExcellent organizational and time management skills, with the ability to handle multiple projects and deadlinesExcellent verbal and written communication skills, with the ability to write clear client-facing contentProficiency with Microsoft Office Suite, including PowerPoint and Excel, plus comfort learning new software and CRM systemsSeries 65 license, or the willingness to obtain one within the first few months of hire (study support provided)PreferredPrior hedge fund or other relevant alternative investment experienceExperience working with institutional investorsExperience with client and performance reportingWorking knowledge of CRM systems such as Redtail, Wealthbox, or SalesforceAdvanced Excel skills, including pivot tables and data reconciliation Benefits, Compensation, and LocationBase salary range $90,000 - $110,000 plus potential bonus, commensurate with experienceComprehensive healthcare benefits including medical, dental, and visionOptional SIMPLE IRA planPaid vacation and sick leaveThis is a full-time, in-person position located in Boulder, CO.
